Report Your Monthly Time

Important Information

This document provides detailed steps for reporting monthly time. For the detailed steps to report biweekly time, see Report Your Biweekly Time.

The basic steps to report monthly time are to either report no exceptions for the month or to enter the exceptions to your normal work schedule. This is done by entering hours or amounts that are exceptions to your normal work schedule if applicable, selecting a Time Reporting Code(s), and clicking the Submit button.

  • A Time Reporting Code (TRC) is a three-character code used to designate the type of time associated with your work and off-work hours. A complete list of TRCs is available via a drop-down list on the page. For help determining the appropriate TRCs and/or hours to report, contact your supervisor or departmental timekeeper.
  • Monthly employees do NOT report regular (REG) hours. They ONLY report variations from REG (e.g., vacation or sick time). If a monthly employee has no variations to report, they will select NOV from the Time Reporting Code drop-down list.

Check with your departmental timekeeper or supervisor for departmental guidelines on the deadlines of when you should complete your time entry.

  • In general, monthly employees must report their variations to regular time through the end of the current month (or select NOV from the Time Reporting Code drop-down list). The time entry deadlines precede the end of each month, so they need to estimate their scheduled exception time through the end of the month.
  • It is okay to report time as the pay period progresses, although your time approver may not want you to click Submit until the end of the pay period.
  • Employees are able to change time reported in a previous time period. Check with your departmental timekeeper or approver to determine if this applies to you.

Step-by-Step Process

There are three pages available for time reporting. You do not need to use all three pages to report time. Each page serves a different function, but the result is the same. To ensure your time is reported properly, check the Time Summary page for a complete view of the pay period.

  • Enter Time - allows you to view one week of the pay period at a time and allows for entry with multiple TRCs.
  • Report Time - allows you to enter one or more TRCs one day at a time.
  • Weekly Time - allows you to enter one or more TRCs for multiple days.

Enter Time

  1. Verify the correct pay period and week display.
    • Use the Previous and Next arrows to change the pay period or week within the pay period.
    • You can also click under the pay period and select a date from a calendar. Based on the date selected, the applicable pay period displays.
    • You can also click on the week to select a different week within the pay period.
    • For Monthly time reporting, Week 1 is the first week of the month, not the calendar week. For example, Week 1 could be a Wednesday to Tuesday, December 1-7.

  3. If you have no variations from your normal work schedule to report, select NOV from the Time Reporting Code (TRC) drop-down. If you have variations, enter the hours in the appropriate date fields and select a TRC from the Time Reporting Code drop-down.
    • If you report NOV (NO Variations), 1.000 is added to the first day of the month so that the NOV code can be saved. It is not processed as an actual hour of reported time. You only need to report NOV once per pay period.
  4. If applicable, enter or Lookup the Combination Code.
  5. To add additional rows, click Add Row (scroll right).
  6. After completing your time entry:
    • If you want to save your entries without submitting your timesheet for approval, click Save for Later. However, you must return to the timesheet before the end of the pay period to click Submit.
    • Click Submit to submit your time for the pay period. If your approver opted to receive approval email notifications, he/she will receive an email. You can make changes and click Submit again if necessary to report more time.

Make Changes to Your Reported Time

Note: If you need to change the time reported for the current month or for a prior month (up to six prior months), you can do so up to the data entry deadline and submit again.

  1. As needed, overwrite or delete the hours in existing Time Reporting Rows.
  2. To delete a row, which includes all hours or amounts for a TRC, click Delete Row (scroll right).
  3. For each new TRC, click Add Row and enter appropriate values in the TRC and date fields.
  4. After changing your reported time, you must click Submit.

Enter Combo Codes (ShortCodes)

Some employees may be required to enter a Combo Code (ShortCode) in addition to hours and TRCs. Only do this if directed to do so by your supervisor.

 

Report Time

  1. Verify the correct date displays.

  3. Select the applicable value from the Time Reporting Code drop-down list.
  4. Enter a Quantity.
  5. If applicable, enter or Lookup the Combination Code.
  6. Click Submit.

Weekly Time

  1. Verify the correct week displays.

  3. Click the applicable days of the week.
  4. Select the applicable value from the Time Reporting Code drop-down list.
  5. Enter a Quantity.
  6. If applicable, enter or Lookup the Combination Code.
  7. Click Review.
  8. Review the page displayed and then click Submit (not pictured).

Time Summary

  1. Verify the correct pay period displays.
    • Use the Previous and Next arrows to change the pay period.
    • You can also click under the pay period and select a date from a calendar. Based on the date selected, the applicable pay period displays.

  3. If applicable, click Filter to view results based upon parameters (e.g., University Holidays, Time Reporting Code, Reported status etc.).
  4. Click a specific date to view additional information on the time reported for the day in the box below. 
  5. To change the reported time, click Actions.
    • Depending on the time already reported, the Actions button allows you to Edit Time or View Exceptions.
