Job Summary

 

This position supports the recruitment of high-quality applicants to Michigan Engineering by providing prospective students the best possible customer service. This role is hybrid with on-site expectations in Ann Arbor, MI. The Admissions Processing Specialist responds to a high volume of inquiries received through phone and email  in a timely and effective manner. The individual tracks questions and responses, uses standard written responses, and adapts processes to meet customer and organizational needs. In addition, it involves coordinating the processing of applications and forms to prepare for departmental admissions review. The position reports to the Michigan Engineering Graduate Registrar.

Responsibilities*

 
  • Responsible for supporting incoming MEng applications and admissions processes for its degree programs, including Masters of Engineering (MEng), Doctor of Engineering (DEng), dual degree masters, SUGS, and joint and customized programs
  • Support MEng applications activities including: acknowledge new applications, CollegeNet annual updates process; application processing (completed application uploaded to university systems); manage application materials as needed (test scores, transcripts, letters of recommendation); determine residency status and enter transcript and GPA information
  • Facilitate program admissions processes, including entering admissions status and official admissions letters; support students with acceptance, withdrawals, and deferrals of their admissions offers
  • Respond to phone, email, and in-person inquiries about our graduate programs and admissions using standard responses and interpretation of routine policies and procedures; resolve most questions and problems independently and refer only the most complex issues to higher levels; identify improvements to standard email responses as needed 
  • Maintain electronic unit files with attention to confidentiality via the University's imaging system
  • Coordinate with College Registrar and CoE Graduate Coordinators on dual degree status students
  • Manage information in relevant student information systems; manage relevant shared email groups; maintain up-to-date records and tracking mechanisms; coordinate with College Registrar and other offices as needed
  • Support the collaborative management of CoE programs for company-sponsored students
  • Ensure compliance with Office of Student Affairs, College, Rackham, University, state, and federal guidelines and policies (i.e. FERPA confidentiality, misconduct reporting, etc.) by supporting and implementing best practices
  • Liaise with other college and university units (i.e. Rackham, University Registrar, Michigan Engineering Online & Professional Education); serve on relevant unit, college, or university committees and working groups; participate in relevant events and meetings 
  • May perform other responsibilities as assigned
     

Required Qualifications*

 
  • An associate's degree in education, business administration, management, social science, or related field, or combination of education and experience will be considered
  • 2-4 years progressively responsible office experience, demonstrating administrative capabilities and skills or equivalent work experience
  • Proficiency with various technologies, including Microsoft Office products, including familiarity with Excel, Adobe, and Google Workspace
  • Excellent communication, interpersonal, and organizational skills
  • Demonstrated ability to work well within a team, as well as independently
  • Demonstrated time management skills, including ability to prioritize multiple projects simultaneously and successfully meet deadlines
     

Desired Qualifications*

 
  • Experience in an admissions office, student service office, or other academic service unit
  • Proficiency in university systems such as Oracle Peoplesoft (MPathways) or similar tools
  • Knowledge of University policies, systems, and procedures
