Job Summary

 

The Administrative Assistant Senior serves as an indispensable member of the Department's front office administrative team, providing support to the department chair and chief administrator.

Responsibilities*

 

Responsibilities include the following:

Department Website

  • Serve as the department's webmaster providing oversight of the department's website.
  • Manage and design web projects for new initiatives.
  • Manage the upload process of content to the English Department website.
  • Manage the web-based departmental calendar and coordinate related activities with the department. Provide support for subareas of the department on web development as needed.
  • Collect and post alumni profiles and update the alumni website.
  • Make recommendations to the Chief Administrator on structural and design changes.

Facilities & Equipment

  • Manage English Department facilities and renovation projects; provides logistical support to LSA Facilities & Operations.
  • Coordinate office assignments and furniture ordering.
  • Manage inventory and property disposition.
  • Complete the yearly UM space survey.
  • Recommend major purchases.
  • Manage departmental equipment and track inventory.
  • Manage the faculty computer upgrade program.
  • Liaise with UM Facilities & Operations, Plant/Building Services, LSA Facilities, Occupational Safety and Environmental Health (OSEH), and MWorks Occupational Health.

Faculty Support

  • Work closely with Chair's office managing the faculty annual report process.
  • Provide support for the Faculty Salary Committee.
  • Manage all faculty awards (nominations, submissions, data tracking) working with and providing support for the Faculty Awards Committee.
  • Update the Faculty Life Cycle with committee assignments and awards. 

Procurement

  • Manage faculty computer upgrade program.
  • Order furniture and equipment as needed.
  • Coordinate services between the department and various vendors and services.

Administrative support

  • Administrative assistant to the chief administrator
  • Manage the department print allocations.
  • Manage gift or cash processing.
  • Provide database management expertise to various areas of the department as needed, building databases as needed.
  • Provide backup support to the Executive Secretary during busy times.

Required Qualifications*

 

A bachelor's degree or equivalent education and relevant work experience. A demonstrated high level of professionalism, critical thinking, problem solving, and decision-making. The successful candidate must be a self-starter; must be able to set priorities and handle multiple assignments and deadlines proactively and efficiently; must learn quickly and be able to work independently with minimal supervision; and must be able to adapt to change and display sound judgment. Attention to detail and accuracy is a must.

The English Department relies on our staff's ability to work successfully in a team environment. We are looking for someone with a desire to identify opportunities to improve processes; must exercise a positive service-oriented attitude and handle challenging situations with tact and diplomacy.

Desired Qualifications*

 

Experience working in a higher education environment.

The successful candidate will be able to work effectively with a wide variety of groups of students, faculty, and staff, and can handle sensitive and confidential materials and situations as well as value differences.

We require a high level of proficiency with information technology applications including spreadsheets, database management, website software, presentation software, and word processing. We seek expertise in all Microsoft Suite software, Adobe Acrobat, Adobe Experience Manager, Google applications, and demonstrated motivation to find and use new software to enhance our major projects. The ideal candidate will consistently seek innovation and collaboration with original thinking and risk-taking to find fresh solutions.

Modes of Work

 

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

 

The salary range for this position is $46,800 to $58,600 A higher salary may be offered for highly qualified candidates.

Currently, the English Department is following a hybrid schedule. During the academic year, there is an opportunity to work up to two days remotely per week; up to three days remotely per week during the spring/summer months. This current arrangement is subject to change based on LSA's guidelines.

The regular work hours are M-F, 8:00 a.m. to 5:00 p.m.
