Job Summary

 

Department Summary:

Michigan Housing is an actively engaged unit within Student Life Auxiliary Services within the Division of Student Life. Michigan Housing serves approximately 11,500 students: 9,100 undergraduate and 2,300 graduate and professional students and their families. Although first-year students are not required to live on campus, historically 96-98% of all new first-year students choose to live on. Currently, the M Housing portfolio consists of 19 residential facilities including traditional residence halls, apartments, and other living options located in communities on north and central campuses in Ann Arbor. In Fall 2026, 5 new residence halls housing 2,300 undergraduate students and a new 822-seat dining facility will open to continue M Housing's strong tradition of providing affordable housing options and services for U-M students. Michigan Housing's Operations department consists of 23 full-time staff members and over 200 student staff members managing housing operations responsibilities, including housing occupancy, housing applications and contracts, semesterly transition logistics, residential community center management, and housing parking permit management.

Position Summary:

Reporting to Associate Director of Operations, the Administrative Assistant Intermediate provides desk management in the West Quad Administrative Suite, which provides on-site direct support by answering questions and providing guidance to guests for Michigan Housing, Michigan Dining, Student Life Facilities & Capital Projects and Student Life Sustainability. You will provide administrative support and coordination for Michigan Housing's Operations department with a focus on the Operations leadership team and Housing Parking.

Responsibilities*

 

West Quad Office Suite Desk Management (40%)

  • Provide on-site coverage of the front desk in the Michigan Housing and Dining Administrative Suite. Including: answering and responding to phone calls and emails by providing guidance and direct connection to offices if applicable, providing direct assistance to students, guests, and staff who visit or stop into the administrative suite. The desk is staffed during business hours 8am-5pm, Monday-Friday. Coverage will be adjusted during peak times of the year (examples: move-in and move-out).
  • Support Michigan Housing customer service responsibilities together with the main housing desk at the Student Activities Building. Be a secondary support for inquiry handling through primary Michigan Housing customer service channels.
  • Provide direct support for daily operational needs in the West Quad Administration Suite, including: managing copy room supplies inventory and communication with vendor, managing kitchen supplies inventory and communication to ensure items are available, updating group phone lists and list serves, maintaining office library inventory, overseeing parking permits, and ensuring accuracy of suite directory.

Administrative Support (35%)

  • Provide direct administrative support to Michigan Housing's Operations department, including, and is not limited to: scheduling meetings and updating calendars, maintaining MCommunity Groups, space reservations, ordering supplies and food, managing meeting agendas, and other tasks as assigned.
  • Support all administrative needs for Michigan Housing's Operations department, including professional search committees, including creating candidate schedules, coordinating candidate ground transportation, reserving rooms, and ordering food.
  • Manage PCard purchasing for the Operations department's different needs, such as office supplies, Community Center supplies, and move-in and move-out purchasing needs.
  • Manage inquiries from multiple departments and logistics of room reservations throughout the residence halls and apartment communities, including reviewing and making recommendations for best processes to ensure spaces are available and accessible to residential students
  • Oversee inventory and purchasing of departmental office supplies, to include tracking and distribution of items, including staff apparel.
  • Create and maintain email groups and phone lists for the Operations department.
  • Serve as a member of departmental working groups as needed.
  • Maintain confidential information relating to students and student staff/leaders.
  • Other responsibilities as assigned

Housing Parking Customer Service (25%)

  • Manage parking-based inquiries from students, faculty, staff, and visitors through Michigan Housing Parking email channels.
  • Support annual student and staff housing parking permitting processes, including permit applications, issuance, and billing.
  • Collaborate with departments and partners regarding parking permit needs.
  • Coordinate with Operations staff, including Community Center Managers, regarding parking permit inquiries and issuance.

Required Qualifications*

 
  • High school diploma or equivalent
  • Demonstrated ability to use Google Suite, Microsoft Office Suite software, and social media tools
  • Work Authorization: Must be legally authorized to work in the United States without company sponsorship

Working Conditions:

  • This position requires on-site work on multiple sites on the University of Michigan - Ann Arbor campus.
  • Some nights and weekends may be required.

Physical Requirements:

  • May need to move packages of up to fifty pounds to and from various office areas, including shelving units, package storage locations, and mailrooms. You are required to frequently travel around campus to provide administrative support throughout the housing organization.

Salary may vary depending on qualifications, experience, and education of the selected candidate.

Selected candidates whose start date is 4/1/2025 or after, will not be eligible for the university FY25-26 salary/merit plan unless otherwise notified.
