1) Administrative Operations
The Administrative Specialist supports the LSA Facilities & Operations team by managing calendars, meetings, travel, purchasing, and event logistics, while ensuring accurate documentation and compliance. They maintain departmental resources, coordinate space reservations, and serve as the main point of contact for office operations.
2) Operational Effectiveness
This role enhances operational effectiveness by identifying and implementing more efficient, automated workflows using AI tools and emerging technologies. With a focus on reducing manual tasks and increasing productivity, the Administrative Specialist will help modernize operations to meet the evolving needs of the LSA Facilities Office.
3) Access Management
The Administrative Specialist manages the access control system for LSA buildings (Mcard, CCURE, and key access), coordinating schedules, handling access requests, and ensuring secure permissions. They also run CCURE audit reports to align access rights with departmental needs and university policies.
4) Work System Management and Communications
The position also manages the triage and workflow of LSA Facilities requests in TeamDynamix, ensuring timely response and clear communication with requestors. They also handle daily email communications, share policy updates, and collaborate across departments to support consistent and effective administrative practices.
5) Sustainability Engagement
The Administrative Specialist will support and promote sustainability efforts within the department and the College community, including organizing events such as the biannual LSA-wide Shred Event. The position also includes responsibility for encouraging sustainable purchasing practices and reducing office supply deliveries.
