Job Summary

The Scheduling Administrative Specialist supports the Program Directors to ensure all undergraduate and graduate schedules are built each term and determines effort along with processing contracts for part-time faculty.

This position will work on workload and the student course evaluation process with the Program Directors, while also ensuring all updates to contracts and scheduling are adjusted accordingly. 

This position reports to the SON Dean.

Responsibilities*

  • Build and coordinate all aspects of graduate and undergraduate program schedules (fall, winter, summer)
    • Use Business Objects to run enrollment comparisons and enrollment reports/waitlists on a continuing basis to determine faculty and course needs and make recommendations to Program Directors
    • Send schedule changes to Registrar
    • Schedule classrooms/computer labs, final exam schedules
  • Work with Academic Program Directors (APDs) to prepare and update faculty workload documents
  • Calculate faculty teaching efforts each semester and prepare LEO and ACL appointment letters
  • Prepare LEO and ACL postings in conjunction with Program Directors
  • Run 10-day counts to determine faculty overload compensation each semester and send updated contract letter if needed
  • Coordinate all aspects of the faculty course evaluation process; download evaluations every semester and send to the lead faculty
  • Other duties as assigned

Required Qualifications*

Required Qualifications:

  • High School Diploma or equivalent
  • 3 or more years of progressive administrative support experience
  • Demonstrated computer skills utilizing Microsoft and Google Suite

Modes of Work

Hybrid:

The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.
