Job Summary

 
  • Oversee and deliver the daily operational activities of University Unions and Events, including the use of facilities, equipment, materials and services.
  • Establish and maintain a positive working environment with all individuals utilizing the James C. Renick University Center and Fairlane Center, resident departments housed within these spaces, and acts as liaison with other UM departments and guests.
  • Act cross-functionally to ensure events planned through UUE are well-coordinated, services are delivered in a high-quality manner, and support University policies.
  • Recruit, hire, train, schedule, and supervise a team of 40+ student employees who deliver our event and audiovisual services in a professional manner.
  • Responsible for developing and working within an approved budget for temporary labor, small equipment, and other purchases related to the UUE department.

Responsibilities*

 

Daily Operations and Event Execution (30%)

  • Ensure accurate daily operations/events run smoothly and safely, providing a level of service and knowledge that defines the UUE standard for excellence
  • Ensure accurate setup of meeting, conference, and event furnishings and audiovisual equipment to accomplish guest satisfaction at events held in UUE spaces and buildings across campus
  • Supervise student staff in the setup of event logistics, including furnishings and audio/visual equipment, for up to 45 events a day
  • Work as part of the UUE team to respond to immediate campus safety, RUC building, and event needs
  • Maintain a safe, secure environment for all facility users and address immediate maintenance, custodial, and policy concerns
  • Act as liaison with Facilities Management (custodial) and Operations to address event needs during planning and execution
  • Work with UUE Events team to determine appropriate technology needs for events
  • Research and obtain estimates, and procure services and equipment for event production as necessary
  • Ensure accurate communication, scheduling, and coordination between all staff and contracted service providers
  • Assist the UUE Director in conducting regular and frequent inspections of facilities and immediately address discrepancies with cleanliness, overall maintenance, and safety concerns, and submit and track work orders as needed
  • Ensure that furniture in public use areas (outdoor, lounge, and other common areas) is always properly set, clean, and maintained by reporting any areas of concern
  • Develop and maintain positive working relationships with university or community representatives and other regular contacts and customers
     

Student Employee Supervision and Development (30%)

  • Hire, onboard, train, supervise, and evaluate student Information Center, Operations, and Building Manager staff (part-time temporary student employees) to ensure consistent employment opportunities and development
  • Train and support Building Managers and Operations staff for the successful execution of events from planning to evaluation
  • Assist in the development of student employment expectations and policies in the form of an online handbook that is updated annually
  • Build a weekly schedule for student employment based on facility and event needs
  • Ensure that student temporary staff are held accountable concerning attendance, uniforms, and maintaining set-up standards
  • Conduct effective staff meetings and training frequently and regularly to ensure the timely dissemination of information, changes, and items that affect operations and customer service
  • Assist in student employee recognition and development opportunities
  • Implement strategies to build a successful team that takes pride in our work, and mentor students as appropriate
  • Actively support learning opportunities through intentional professional and personal development for student employees


Audio Visual and Digital Media Oversight (25%)

  • Inventory, service, and maintain current AV equipment & furnishings
  • Maintain well-organized and clean storage rooms for event furnishings and AV
  • Maintain our interior and exterior digital signage and program schedule
  • Act as liaison with Information Technology Services for service, equipment issues and upgrades
  • Act as liaison with all outside technology-related service providers
  • Develop and maintain operations manuals for all equipment, including but not limited to house sound, lighting, and digital signage equipment
  • Track the current status of equipment needing repair or replacement
     

Other (15%)

  • Participate in UUE and campus planning/guiding teams as needed
  • Manage MCard program on campus, including training, software and hardware updates, and inventory of supplies
  • Support major events on campus like Orientation, Wolverine Welcome, Homecoming, and Commencement ceremonies
  • Work with campus partners to incorporate sustainability efforts in our operations and technology
  • Ensure compliance with University regulations governing fire safety, sanitation, employee and guest safety, building security, purchasing, and fixed asset and equipment inventory control
  • Assist in coordinating and executing building evacuation drills and other safety-related programs
  • Other duties as assigned by the supervisor
     

Required Qualifications*

 
  • Bachelor's degree in hospitality, business management, or related field or equivalent combination of education and experience.
  • Two years minimum of related experience with audiovisual equipment and/or event management
  • Two years minimum of supervisory experience
  • Excellent organizational, communication, and interpersonal skills to represent and support departmental initiatives across campus
  • Superior customer service skills
  • Ability to successfully manage multiple competing tasks and priorities
  • Skilled at planning and managing resources in efficient and effective ways
  • Strong working knowledge of multimedia and sound reinforcement equipment (microphones, data projectors, video conferencing, teleconferencing, networking (computers), streaming, and remote meeting needs as well as testing and troubleshooting techniques for all AV equipment, hardware, and software
  • Ability to work under pressure and make sound and independent decisions to support event and departmental needs
  • Must have a valid driver's license for operation of University vehicles and possess an acceptable driving record.
  • Effective working knowledge of Microsoft Office, Apple, and Google applications
  • Must have the ability to lift up to 50 lbs. and frequently move about campus buildings and grounds
     

Desired Qualifications*

 
  • Experience working in a student union, conference, or event facility
  • Familiarity with higher education organization systems and procedures
  • Functional experience with Crestron/Extron systems, 25Live software
  • Experience supervising student employees and developing training materials
  • Understanding of the value of a student union and student employment on a college campus
  • Appreciation of cross-functional teamwork and detailed communication to deliver superior events
  • A demonstrated commitment to participating in building an inclusive, equitable, and diverse campus community
  • Demonstrated knowledge of event staffing, crowd management, event security, public assembly, facility emergency protocols, etc.
  • Current on applicable certifications, including but not limited to CPR and First Aid
     

Work Schedule

 

The hours of operation for the Renick University Center is 7am to 11pm. The current work schedule will be 11am to 7pm Tuesday through Saturday. The work schedule may need to be adjusted to align with the demands of the department and campus events.

  • Must be able to work flexible hours, including occasional nights and weekends, as scheduled to meet customer and operational needs
