Job Summary

 

We are seeking a Financial Specialist Associate to join the Executive Business Services (EBS) team. The EBS team provides a broad range of budget, financial, procurement, administrative and consulting services for five Executive Offices: President, Vice President and General Counsel, Vice President and Secretary, Vice President for Government Relations, and Vice President for Communications. As well as, the Equity, Civil Rights, and Title IX Office, the Division of Public Safety and Security, Economic Growth Institute, Arts Initiative and the Ethics, Compliance, and Integrity Office. The Financial Specialist is an integral member of the team responsible for providing financial support on a wide range of financial transactions and related topics for all of our client offices.

Responsibilities*

 
  • Coordinate transactional activity in partnership with the university's shared services center, including items related to accounts payable, accounts receivable, statement of activities reconciliation, travel and expense reimbursements, service unit billings, and journal entries.
  • Initiate purchases of supplies, services and equipment using proper buying methods including purchase requisitions, purchase orders.
  • Process and/or assist with honorariums, awards, gifts, prizes, wire transfers, foreign transactions and lump sum advance requests.
  • Track and monitor revenues and expenses for conferences and events.
  • Work closely with EBS team analysts to confirm availability of funds for purchase commitments and Procurement Services to coordinate information needed for contracts 
  • Provide support to other EBS team members as needed, including for reconciliations, internal controls, and various accounting functions.
  • Recommend and implement process improvements.
  • Assist with special projects and other duties as assigned.
     

Required Qualifications*

 
  • Bachelor's degree with two or more years of related financial/accounting experience or an equivalent combination of education and experience.
  • Excellent interpersonal skills and evidence of working collaboratively and diplomatically with others.
  • Experience applying fundamental financial concepts and practices to business needs.
  • Eagerness to take on new tasks, and ability to adapt to changing needs and priorities.
  • Excellent problem-solving skills, self-starter, and ability to effectively manage assigned tasks.
  • Experience using spreadsheet functions and reporting software.
  • Understand and value diversity and the importance of inclusion as demonstrated through a commitment to apply and incorporate the differences, complexities, and opportunities that diversity brings to an organization. 
  • Ability to create and propose new ways to streamline processes and implement those processes.

Modes of Work

 

The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.
