The Program on Intergroup Relations (IGR) is a joint program between Student Life and the College of Literature, Science and the Arts focused on intergroup and social justice education. IGR works proactively to promote an understanding of intergroup relations inside and outside of the classroom. IGR offers multidisciplinary courses and co-curricular programs that utilize experiential learning and models of dialogue to help students learn about social inequalities, the significance of social identity, intergroup relations, and social justice.  

Skills required: Candidates must have strong organizational skills. Interpersonal, and communication skills because this position interacts with all stakeholders: students, faculty, staff, and administrators. Successful candidates must also provide timely responses to inquiries.

Instructional and Course Support: 55%

Enrollment and Course support:

• Liaise with Registrar/LSA to submit course offerings each semester and update course descriptions
• Manage enrollment for all IGR courses
• Optimize systems and processes for student and staff/faculty ease
• Track, organize and package course permissions and associated data
• Maintain Canvas for IGR courses 
• Help strategize enrollment and application processes with regard to university calendars, deadlines and processes
• Develop, streamline, manage, and update web-based application systems for regular and independent study courses. 
• Aggregate and package student demographic information for ALA 122, 320, 321, and 322 for instructor use.
• Issue system override permissions and correspond with students regarding registration
• Maintain a list of current and new campus partners and contact information for those participating in the nomination process
• Coordinate training course application process by preparing and distributing course application, tracking applications, organizing interviewers, scheduling interviews, and notifying students of admission decision
• Submit overrides for students who are admitted to IGR courses requiring overrides and manage in-house course waitlists
• Attend ALA 122 Mass Meetings to address materials, registration, placement and other needs
• Communicate placement, location, assigned facilitators, and other information to students at the beginning of the term 
• Oversee the procurement, organization, and distribution of course-wide materials such as hard-copy syllabi, course packs, handbooks and other facilitator and participant needs by office assistants
• Maintain shared drives and archive and manage access to student demographic information after course completion
• Data Management Support for Qualtrics Surveys
• Submitting hiring materials for student colleagues (e.g., office assistants, student recruitment team members)

Event Planning/Execution

• Attend unit celebrations and events (during and outside of regular office hours) as needed
• Format and print certificates for course/graduation events
• Support all aspects of IGR Graduation Committee  
• Oversee material/catering/food ordering and space arrangement and management for end-of-semester final collaborative project showcase

Recruitment

• Provide support for Staff Recruitment Team
• Assist with the creation of promotional and recruitment materials
• Order, stock, inventory, and maintain giveaways, apparel, recruitment materials and other tabling materials
• Update IGR Course website with course offerings and update applications under the direction of the Communications Strategist
• Monitor, update, and regularly report out enrollment numbers
• Prepare data and information about enrollment processes/trends and user experience for the IGR Directors Team

Academic Minor Management

• Correspond with and conduct interest meetings with potential students
• Review the IGR minor checklist with prospective students and answer frequently asked questions
• Maintain Advisor assignment lists and logs
• Maintain and monitor the Academic Minor interest form
• Assist with scheduling open advising appointment time slots
• Annotate Undergraduate Advising File as needed
• Advising IGR minor students

Furthering the Field/Outreach: 25%

Institute

• This position is responsible for providing administrative support elements of the National Intergroup Dialogue Institute in consultation with the Associate Director for Strategic Partnerships & Initiatives and the Assistant Director at IGR.
• Assist the communications strategist with advertising and recruitment for the Institute through preparing and distributing print and electronic marketing materials, keeping the Institute webpage up to date, and soliciting invitees. 
• Assist in the construction/organization and launch the virtual Canvas site for the conference.
• Coordinate Institute registrations on Cvent and payments in collaboration with Accounts Receivable Supervisor at Student Life Budget and Finance Billing office. 
• Coordinate event logistics with in-person conference site location and supervise logistics onsite during the Institute.
• Assist with room reservations, A/V, Catering arrangements, etc
• Assist with composing the final institute report and evaluate the post-evaluations survey.

Community of Scholars

• Provide organizational and communication support for Community of Scholars/ etc
• Help procure materials/ curriculum pieces for these outreach activities

Office Administration: 10%

Committee Work

• Serve on internal IGR on-going and special project committees and workgroups as necessary, including but not limited to the Graduation Celebration Committee, Curriculum Committee, and Infrastructure Committee

Supervision

• Supervise two to three work-study students (8-10 hrs/wk) on course and Minor support, marketing, library support tasks, and/or project-based tasks.
• Interview, hire, and train office assistant/work-study students

Office coverage and space management

• Provide secondary office presence through answering central phone line (when necessary), reception, scheduling conference rooms, assisting staff, and monitoring the resource area. 
   

Resource Management: 5%

Library

• Manage item circulation by assisting patrons, checking in/out books, sending out overdue notices
• Purchase items in response to IGR's needs
• Ensure accurate labeling and bind materials for cataloging, and coordinate with UM Library system to list new items in the MIRLYN catalog where appropriate
• Ensure the accuracy of cataloging holdings through the use of Libib.com and manage subscription/payment for Libib.com services
• Organize, maintain, and assist patrons in accessing program catalog of handouts, exercises, and activities
• Conduct, in conjunction with office assistants, 1-2 yearly inventory(s) of library collection and update internal database of holdings
• Monitor, respond to, and direct inquiries from IGR Mark Chesler Library email address

Other Duties as Assigned: 5 %

• A high school diploma. 
• At least 2-4 years of experience working in an academic or student services department.
• Understanding and commitment to intergroup and social justice education and student development
• Ability to work with multiple constituents (faculty, staff, students, and other institutions)
• Ability to manage multiple priorities 

• Bachelor's Degree highly preferred
• Knowledge of University policies and procedures related to Academic Affairs and enrollment management.
• Understanding and commitment to intergroup and social justice education and student development
• Experience in administrative support duties and technical skills in Canvas, Qualtrics, Cvent, Google Drive, etc.
