Job Summary

 

Wolverine Pathways is seeking a dynamic and detail-oriented Administrative Assistant at the Intermediate level to support the growth and success of our program. In this role, you will serve as a key communication hub, coordinating across multiple departments' including the business office, human resources, finance, administrative teams, educators, community partners, and the diverse communities we serve. This is a hybrid position based in Ann Arbor, Michigan, reporting directly to the Assistant Director. Some Saturday work is required in alignment with the program schedule.

Responsibilities*

 
  • Greet and direct guests, and forward inquiries to the appropriate individual
  • Process incoming and outgoing U.S. mail, campus mail, and periodic deliveries
  • Participate in multiple meetings, workshops, and trainings to provide or receive information, professional development, and record minutes
  • Prepare a variety of documents, such as correspondence, agendas, minutes, event programs, bulletins, and reports
  • Respond to a variety of inquiries from internal and external parties (e.g., staff, parents, students, public agencies) to provide information or guidance
  • Provide office support, such as ordering supplies, running errands, coordinating equipment, and handling facility repairs and maintenance
  • Maintain office and common areas by providing daily setup and cleanup, including unlocking and locking offices
  • Coordinate events, including appointments, meetings, workshops, professional development seminars, and annual retreats. This includes arranging for food and catering, facilities, IT support, setup, and cleanup. This requires experience managing complex calendars
  • Review curricula for proper formatting and order materials for curriculum leads and participating U-M faculty
  • Use UM P-Card responsibly to make purchases, track receipts and invoices, reconcile expenditures, and review monthly statements of activity on purchases of central office, all sites, and of curriculum designers, and provide budget recommendations
  • Assist Wolverine Pathways faculty, staff, and partners in the use of the UM Concur system and processing expense and travel reports
  • Coordinate the onboarding and offboarding processes for new employees
  • Help submit front-end HR transactions to the HR Coordinator Services for processing job postings, job offers, job changes, and separation or leave of absence requests
  • Coordinate the background check process for temporary staff, volunteers, and contractors
  • Collaborate quarterly with a team of Access and Opportunity administrative assistants to share best practices, streamline processes, and improve the delivery of administrative services across the organization
  • Assist with staffing in-person programming as needed

Required Qualifications*

 
  • Bachelor's degree in education or business-related program, or equivalent combination of education and experience
  • 1+ years of experience operating standard office equipment, including information technology and software applications; scheduling activities, meetings, and office procedures
  • Handle confidential material securely
  • Experience and enthusiasm to learn new skills
  • Experience working in a diverse environment with various individuals and groups
