The Economics Administrative Assistant works closely with other Department staff to provide integral administrative support to department operations. Strong organizational and critical thinking skills as well as attention to detail are vital to success in this position which supports a wide range of activities including:
Department Space: Serves as primary departmental contact for facilities issues, reporting and tracking status with LSA Facilities contacts. Assists with space assignments and furnishing requests, and inputs annual space survey data. Coordinates key and access requests processes for department-managed spaces. Regularly walks the Economics department spaces to ensure they are well-maintained and reports any issues promptly.
Academic Affairs: Assist with faculty academic affairs documentation, processes, and recordkeeping. Primary responsibilities will be to assist with the creation and preparation of documents and dossiers for faculty (tenure-track, lecturer, post-doc, and research) hiring, reviews, awards, retirements, and memorials. Coordinates visiting faculty hiring and visiting scholar requests and the onboarding of visiting faculty and visiting scholars.
Alumni/Donor Relations and Stewardship: Produce donor stewardship letters for department gifts on a regular basis. Draft and produce, after approval, specialized donor stewardship letters for special gifts, fundraising events/activities, and tribute/memorial gifts. Assist in determining marketing and promotional needs, and place orders/track inventory. Provide administrative support for MITRE, including assisting the MITRE Director with preparing and disseminating communications and reports. Assists Meeting/Event Coordinator with events, both in planning and on-site support, including the RSQE Economic Outlook Conference, and Department Commencement. Coordinates the annual meetings of and communications to the Economics Leadership Council (ELC)
Department Administration and Records: Answer inquiries and provide information to students, faculty, and staff as directed. Create and maintain departmental information files and systems, ensuring the integrity and confidentiality of files and information. Assist with data collection and organization for department reports and reviews. Coordinate department Zoom phone services, requesting and disconnecting lines as appropriate. Maintain assigned areas of the Department web pages and Portal (intranet) in AEM. Update departmental and programmatic email groups as assigned. Perform miscellaneous tasks as assigned. Assist other staff colleagues with projects or front-office coverage when needed.
