Job Summary

 

The Logistics and Support Services (LSS) Timekeeping team plays a crucial role in ensuring accurate payroll processing for over 800 Michigan Medicine employees. We provide comprehensive payroll support, training, and guidance to LSS departments, focusing on accuracy and compliance.

We are seeking a detail-oriented and self-motivated individual to manage payroll for over 125 Michigan Medicine employees, including members of the American Federation of State, County, and Municipal Employees (AFSCME) and non-bargained-for biweekly and monthly staff. This individual will be responsible for generating and preparing payroll reports, analyzing complex payroll data, ensuring compliance with policies, and providing expert guidance on payroll matters. 

What You'll Do

 

Direct Payroll Support

  • Review, verify, and update employees' timesheets and schedules, ensuring proper timekeeping codes in collaboration with supervisors, managers, payroll, human resources, and finance teams (approximately 125 timesheets per pay period).
  • Process payroll accurately and efficiently within strict deadlines, adhering to established guidelines, rules, and collective bargaining agreements.
  • Manage data from multiple sources to ensure all payroll transactions are completed on time and without error. 
  • Maintain payroll integrity and confidentiality by following policies and procedures.
  • Ensure compliance with University of Michigan guidelines, federal and state regulations, and the AFSCME collective bargaining agreement (CBA).
  • Investigate and resolve payroll discrepancies, conducting thorough research and analysis to provide timely solutions.
  • Assist in tracking leaves of absence, FMLA, workers' compensation cases, and extended sick leave to ensure accurate payroll processing.
  • Handle pay-related inquiries, offering clear, accurate, and timely information while addressed concerns and providing solutions.
  • Review Gross Pay Register (GPR) for accuracy and discrepancies.
  • Stay up to date on payroll procedures, policy changes, and updates, and communicate relevant changes to stakeholders.
  • Drive process improvements and update internal documentation
  • Provide vacation and holiday coverage.

Training and Reporting

  • Generate and analyze payroll reports, using gathered payroll data to identify trends, discrepancies, and ensure accuracy.
  • Train and mentor new supervisors and managers on payroll processes and best practices.
  • Collaborate with current supervisors to provide updates on new payroll procedures and offer refresher training as needed.

Required Qualifications*

 
  • High School Diploma or equivalent, with a minimum of 4 years Administrative/Payroll experience.
  • At least 2 years of payroll experience managing supporting unionized (bargained-for) employees.
  • Proficiency in Microsoft Office Suite, particularly Excel.
  • Strong attention to detail, with a focus on accuracy and efficiency.
  • Solid numeracy skills, including the ability to perform moderately complex calculations.
  • Strong planning and organizational skills, with the ability to prioritize tasks effectively to meet deadlines.
  • Problem-solving abilities, including the capacity to quickly identify issues and implement solutions.
  • Excellent communication skills, with the ability to present information clearly, concisely, and consistently.
  • Ability to handle pressure and meet deadlines while providing exceptional customer service.
  • Willingness to occasionally work non-traditional hours and holidays to meet payroll deadlines.
  • Proven track record of reliable attendance.
  • Ability to collaborate effectively with individuals at all levels of the organization.

Desired Qualifications*

 
  • Familiarity with Michigan Medicine's policies and procedures.
  • Knowledge of the AFSCME Collective Bargaining Agreement (CBA).
  • Experience processing payroll for AFSCME employees.
  • Experience with punch-clock systems and self-service timekeeping for staff.
  • Proficiency with M-Pathways and related payroll systems.
  • Ability to run queries and generate reports from M-Pathways.
  • Experience working with Gross Pay Registers and conducting reconciliations.
  • Familiarity with Tableau or similar data visualization tools.
  • Knowledge of internal controls and their application in payroll processes.

Work Schedule

 

Day/Afternoon shift with willingness to occasionally work unconventional hours to meet payroll deadlines. Some weekends and holidays may be required in accordance with the University's Payroll Schedule. 

Work Locations

 

This is a hybrid position with majority of the work occurring remotely. Employee's work performance will be periodically assessed, and the remote work agreement may be revised/revoked if necessary.

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
