The Office of Development supports a culture of flexibility, and a hybrid work arrangement is possible for this position.

 

The Campaign, Planned Giving and Neuroscience teams are fundraising teams within the MM Office of Development. The Development Coordinator would be responsible for providing high-level support to the Campaign, Planned Giving & Neurosciences gift teams as a contributing member in a fast-paced, service-oriented environment. This individual appreciates and will contribute to a positive culture as a core value. This role will work independently and proactively to support partners with administrative tasks such as: preparing legal documents and correspondence with a high level of accuracy, arranging donor and prospect meetings, frequently communicating with donors and prospects as well as volunteers, faculty and administrators and running reports and accessing information from donor databases among other tasks. This position also includes football related duties, including creation of tracking documents, briefing templates, tracking for all teams and other deliverables, distribute related swag, parking passes, credentials, guest lists, and briefings to stakeholders

 This position actively participates in hospital and other fundraising events.

Responsibilities*

 

Administrative Support (40 %) 

  • Manage and coordinate calendars and schedule complex meetings.
  • Screen, prioritize, and route all written and electronic correspondence, phone calls, and outside requests. 
  • Draft meeting agendas and correspondence.
  • Direct matters to appropriate individuals for action or follow-up.
  • Prepare P-Card and hosting documentation for reconciliation.
  • Represent development in handling inquiries of highly sensitive and confidential nature.
  • Assist with planning and execution of visits, events and committee meetings including preparation of invitation lists, coordinating details with event planning and hospital staff, and making guest arrangements for events and activities.
  • Coordinate travel, hosting and event related activities including planning trips and itineraries, coordinating travel arrangements, locations, refreshments, and staffing.

Project Management and Team Support (35%)

  • Manage and support the efforts of various project and task teams by creating and managing project plans, ensuring performance against project plans and enabling reporting of progress, including, but not limited to, events.
  • Assist in creating and maintaining overall donor/prospect stewardship plans for gift officers.
  • Maintain timelines and ensure productivity within plan.
  • Coordinate with prospect development to assist in driving gift officer pipeline activity.
  • Football coordination:
    • Creation of football-related tracking documents, briefing templates, tracking for all teams and other deliverables
    • Distribution of football swag, parking passes, credentials, guest lists, and briefings to stakeholders

Donor and Prospect Coordination (25%)

  • Assist gift officers to systematically identify donors and prospects with capacity.
  • Generate reports and ad hoc queries from internal databases.
  • Analyze prospect data and prepare reports, assist with donor database entries.
  • Prepare legal documents and correspondence related to donor and prospect activities.
  • Provide meeting preparation and follow up with high level prospects, donors, campaign volunteers, volunteer committees and third-party events including note taking.
  • Assist major gift officers in documenting gift asks, next steps and contacts in the donor contact management system (DART).
  • Coordinate details and written preparation of briefing materials for events involving major gift prospects, donors, and University and Michigan Medicine leadership.
  • Other administrative duties as assigned.

Required Qualifications*

 
  • At least two years of progressively responsible relevant administrative support experience.
  • Ability to manage multiple priorities and meet challenging and changing deadlines.
  • Advanced experience with the Microsoft Office Suite (Word, PowerPoint, Excel, Visio, Teams), Google Suite, Zoom.
  • Experience with generating reports from a variety of internal databases.
  • Must be a self-motivated, highly dependable independent worker with the ability to efficiently and effectively prioritize work and problem solve without direct supervision.
  • Excellent verbal, written and organizational, verbal, and written skills.
  • Proven ability to use discretion and maintain a high level of confidentiality.
  • Excellent verbal, written and organizational skills with demonstrated attention to detail.
  • Ability to work flexible hours with occasional weekend and evening work as necessary
  • Candidate must have access to reliable internet.

Desired Qualifications*

 
  • Bachelor's Degree
  • Demonstrate comprehensive knowledge of the University of Michigan and the Michigan Medicine organizational structure, culture, operations, and procedures
  • Familiarity with DART, Business Objects and Tableau and other development reporting systems.
  • Familiarity with development reporting systems.

Work Locations

 

The onsite location for this position is an office suite at 777 E. Eisenhower Pkwy, Ann Arbor. This building provides free, on-site parking for staff. 

Work schedule includes working 3 days on site, 2 days remote. This does require flexibility based on the work demands of projects/events. This position may be eligible for remote and/or flexible work opportunities at the discretion of the hiring department. 

Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment. This position works both onsite and remotely based on the business needs of the unit.

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
