Job Summary

 

The Pediatric Cancer Unit (7 East) is currently seeking a Senior Level Administrative Assistant to provide highly responsible and complex support to the unit Nursing Leadership and staff.  The position is part-time (24 hours), Monday through Friday.

Responsibilities*

 
  • Duties include but are not limited to providing administrative support to the Clinical Nursing Director and other unit nursing leadership positions (Nurse Supervisor, Educational Nurse Coordinator, and Clinical Nurse Specialist). 
  • Develop, maintain, adjust nursing and ancillary schedules, payroll, reports, billing, gross pays, PTO accruals, and personnel paperwork.
  • Monitor and review expenditures for materials, equipment and travel. Order supplies and other items as necessary.
  • Coordinate the use of facilities, services and equipment.
  • Prepare electronic education course registrations, submit staff attendance, etc.
  • Coordinate the handling of routine personnel actions.
  • Assist in the resolution of operating problems and employee complaints.
  • Prepare, submit and reconcile financial processes and statements such as travel and hosting expenses, tuition support, gift accounts, etc.
  • Maintain personnel records.
  • Exhibit exemplary customer relation skills in interacting with unit staff in a fast paced, customer friendly environment.
  • Process, reconcile and submit bi-weekly and monthly payroll generated from OneStaff data, adhering to Department of Labor regulations, UM Policies and Procedures and contracts.  Review Gross Pay Registers, make adjustments as necessary and ensure timely follow-up with staff involved.   
  • Prepare all personnel documentation including job postings, appointment changes, and all records/absences pertaining to personnel issues
  • Complete other duties as assigned

Required Qualifications*

 
  • An associate degree or an equivalent combination of education and experience is necessary. 
  • 4+ years of experience in an administrative/clerical support capacity.
  • Experience of at least 2 years on an acute care inpatient unit and knowledge regarding clinical operations.
  • Highly motivated to provide excellent customer service.
  • Excellent verbal and written communication and organizational skills.
  • Demonstrated ability to work independently and cooperatively, be flexible/prioritize and complete tasks in a timely manner.
  • Reasonable knowledge of University Policies and Procedures.

Desired Qualifications*

 
  • Experience using ANSOS/OneStaff, M-Pathways/PeopleSoft, Data Mart, Wolverine Access Financials, and Human Resources.  
  • Knowledge of MNA contract and the Standard Practice Guide.
  • Knowledge of e-Recruit, Cornerstone and Concur.
  • Proficient in Microsoft Windows and Excel.

Background Screening
