This is a one-year term limited appointment.  

Job Summary

 

The Program and Administrative Coordinator will provide administrative, logistical, and operational support for Life-Changing Education programs, events, and day-to-day activities. Reporting to the Project Manager, this position will help ensure that programs and events are well-organized, professionally executed, and aligned with unit priorities.

The ideal candidate is highly organized, detail-oriented, responsive, and comfortable managing multiple tasks in a dynamic environment. This role is well suited for someone who enjoys administrative coordination, event logistics, problem solving, and supporting collaborative work across faculty, staff, students, and community partners. This role will also help provide supervision, coaching, and mentorship to undergraduate Program Assistants, supporting their professional development and engagement in LCE programming.
 

Responsibilities*

 

Event and Program Logistics (45%)

  • Support the logistical execution of LCE programs and events, including speaker events, workshops, conferences, showcases, and community-based initiatives.
  • Coordinate event details such as room reservations, catering, registration, supplies, signage, name tags, parking, and event materials.
  • Provide on-site event support, including setup, check-in, participant assistance, troubleshooting, and breakdown.
  • Support transportation needs, including driving University vehicles and transporting event materials, supplies, and equipment as needed.

     

  • Communicate with vendors, campus partners, speakers, participants, and attendees regarding logistical details, in partnership with the Project Manager.
  • Identify opportunities to improve administrative processes, event workflows, and participant experience. 


Administrative and Operational Support (40%)

  • Provide comprehensive administrative support to the Project Manager and LCE team.
  • Monitor and manage shared email accounts, respond to inquiries, and support timely communication with partners, participants, and campus collaborators.
  • Coordinate domestic travel arrangements, including transportation, lodging, itineraries, and related logistics.
  • Process purchasing requests, reimbursements, expense reports, vendor payments, and related financial documentation in accordance with University policies.
  • Prepare meeting agendas, capture notes, track action items, and maintain organized program documentation.
  • Assist with special projects and other administrative needs as assigned.


Student Staff Coordination (10%)

  • Provide direction, coaching, and mentorship to undergraduate temporary student employees.
  • Support the recruitment, onboarding, training, scheduling, and ongoing development of student staff.
  • Provide regular feedback and mentorship to support student employee growth and professional development.
  • Help create a professional, inclusive, and supportive working environment for the student employees.


Other Duties (5%)

  • Perform other programmatic, logistical, and administrative duties as needed to support Life-Changing Education priorities.
     

Required Qualifications*

 
  • Bachelor's degree or an equivalent combination of education and relevant experience.
  • Experience providing administrative support, coordinating events, supporting programs, or managing complex logistics.
  • Strong written, verbal, and interpersonal communication skills.
  • Demonstrated ability to manage multiple priorities, complex logistics, and competing deadlines.
  • Experience collaborating with diverse stakeholders, partners, or community members.
  • Proficiency with Microsoft Office Suite, Google Workspace, or comparable productivity tools.
  • Ability to occasionally work evenings and weekends, with advance notice, in support of events and programming.
  • Valid driver's license and ability to operate a University vehicle.
  • Ability to travel periodically to on and off-campus event locations throughout Michigan in support of LCE events or programs.
  • Ability to move items up to 40 lbs, with or without reasonable accommodation.

Desired Qualifications*

 
  • Experience working in higher education, nonprofit, academic affairs, student affairs, community engagement, or mission-driven settings.
  • Experience with project management, event production, or program evaluation.
  • Experience supervising temporary student employees and supporting workplace development.
  • Familiarity with University purchasing, procurement, travel, reimbursement, expense reporting, or financial systems.
