Job Summary

 

This position is an integral part of the Medical Staff Quality (MSQ) team within the Office of Clinical Affairs (OCA). The role serves as a core support resource focusing on foundational data management, reporting, and program management across the team. High performance expectations include accuracy in communications, attention to detail, and absolute discretion regarding confidential, extremely sensitive matters. Designed for an individual looking to establish a strong professional foundation in healthcare administration, this role offers the flexibility to learn the department's core functions and grow within the scope of work, while interacting directly with healthcare leadership. The individual will provide vital administrative support to various committees, assist with critical data systems, and serve as an operational liaison to various clinical, quality, compliance, and case management offices.

Responsibilities*

 

Data Management, Systems, and Special Projects

  • Provide primary administrative support for case management data transfer to a new system.
  • Organize, clean, migrate, and maintain department files, data, and electronic records.
  • Assist in dashboard management of various systems and the triage/management of reports.
  • Maintain and update a confidential database for the department.

Committee Support and Administration

  • Provide comprehensive administrative and operational support for various standing committees, ad hoc committees, and task forces across the OCA.
  • Coordinate meeting logistics, content, scheduling, and agendas, as well as accurately documenting and distributing meeting minutes.
  • Assist with material preparation and data collection for key departmental groups, including but not limited to the Medical Staff Quality Committee (MSQC), peer review, and groups focused on professionalism work.
  • Gather and organize peer review case information, patient safety data, and departmental presentations required for committee review.
  • Support the coordination of leadership development partnerships.
  • Document committee best practices and assist in maintaining related toolkits, guidelines, or educational resources.

Compliance, Liaison, and Case Management Support

  • Assist with case management triage and the initial tracking, routing, and processing of compliance, case management, and hotline reports.
  • Serve as a key administrative liaison for the Compliance Office, Privacy Office, Medical Staff Credentialing/Privileging teams, and other internal or external stakeholder groups.
  • Support technical inquiries, gather essential baseline information, and organize documentation to assist with ongoing investigations.

Operational and OCA Support

  • Provide coverage and operational support to the Medical Staff Quality team to ensure continuity of programming.
  • Support or lead specific areas of work as needed, showing flexibility across domains including professionalism work, quality, and case management.
  • Other duties as assigned by the Medical Staff Quality Administrative Manager or Chief of Staff.

Leveling Specifications Administrative Specialist Associate

  • Applies foundational knowledge of professional principles to complete routine and structured assignments. Works under general supervision, with regular guidance on new or complex matters.
  • Exercises sound judgment in organizing work, prioritizing tasks, and managing data under established guidelines.
  • Bachelor?s degree and a demonstrated aptitude for developing professional experience in a relevant field (e.g., quality improvement, data management, or healthcare administration).

Required Qualifications*

 
  • Bachelor's degree.
  • Ability to work effectively in a primarily remote environment, while maintaining the flexibility to work onsite as needed to support departmental programming and committee operations.
  • Demonstrated ability to work with and manage extremely sensitive, confidential data with absolute discretion.
  • Exceptional professionalism is expected given the nature of the role and frequent interaction with healthcare leadership.
  • Strong organizational skills with a proven aptitude for data management, file organization, and attention to detail.
  • Exceptional written and verbal communication skills.
  • Proven ability to prioritize workload and maintain focus in a high-volume, deadline-driven environment.
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint) and Outlook.
  • Flexibility and a strong desire to learn, adapt, and build a career within the department.

Desired Qualifications*

 
  • Experience with data entry, system migrations, or managing digital databases.
  • Previous experience working within a healthcare environment, hospital, or clinical affairs office.
  • Reasonable knowledge of University of Michigan policies, procedures, and regulations.
  • Proficiency with SharePoint and various databases including REDCap. 
  • Ability to multitask and to reprioritize based on urgent data or report requests.
