Job Summary

The School of Nursing at the University of Michigan-Flint is looking for a full-time Clinical Placement Administrative Specialist. This position will provide professional and high-level administrative support to the Clinical Placement Department, reporting to the Clinical Placement Manager.

Responsibilities

Coordinates Student Clinical Compliance

  • Stays up to date on semester deadlines and follows timeline procedure for checking student and faculty health compliance
  • Maintains working knowledge of health requirements, specific guidelines per CDC and SON and is main point of contact for students/faculty with questions related to health requirements
  • Communicates with students pre-deadline for deadline reminder, if students request early checking of account
  • Notifies students of non compliant requirements with email and by making notes/change status in Complio system
  • Ensures students entering the appropriate dates and documentation into the Complio
  • Coordinates with faculty and students when documents do not meet the qualifications of the requirements
  • Has knowledge of Complio system and is able to problem solve if students/faculty have concerns/issues with account.  Communicates with the SON Complio representative.
    Effectively reviews compliance in Complio/ACEMAPP in a timely manner

Coordinates Clinical Rotations and Compliance in ACEMAPP

  • Communicates with the appropriate clinical partner representative who oversees ACEMAPP

  • Communicates with students pre-deadline for deadline reminder, if students request early checking of account

  • Oversees appropriate dates and documentation into the ACEMAPP system. Approves document manager items.

  • Maintains working knowledge of the Complio system, troubleshoots student and faculty account issues, and coordinates with the SON Complio representative to resolve concerns as needed.

  • Communicates with the ACEMAPP representative.

  • Checks student has current membership and able to problem solve how to update membership

  • Able to efficiently and effectively check compliance in Complio/ACEMAPP in a timely manner (new student checks ~10/hr; return student ~20-30/hr) with timely email notifications to student and faculty

  • Coordinates new partnership requests and new student/clinical faculty

  • Identifies compliance modular compliance and runs rotations on time

  • Follows Michigan Medicine procedure for all clinical sites for grad/RN-BSN and enters the appropriate rotation information, links students and faculty, and provides appropriate comments to ACMAPP reps for all nursing programs to include individual precepted rotations for graduate/RN-BSN and group precepted/cohorted rotations for BSN Pre-Licensure programs

  • Understands ACEMAPP consortiums and deadlines for ACEMAPP rotation submissions and running the rosters 3 weeks prior to start of semester

Ensures Compliance with Clinical Course Requirements

  • Coordinates with team to ensure compliance process steps are timely and deadlines are achieved

  • Communicates with Directors for non-compliance student issues and add/drop issues.

  • Coordinate with team to correct any misinformation students provides on the submissions and provide communication to clinical team members regarding spreadsheet information to ensure flow of student progression into clinical experience

  • Ensures good communication with community partner relationships

  • Maintains FERPA requirement

Prepares and Sends Preceptor Communications

  • Prepares and electronically distributes preceptor thank-you letters, certificates, and documentation of ANCC supervision hours for graduate programs within one month following the end of each semester.
  • Records completion of preceptor recognition materials on the appropriate student submission forms.

Coordinates Flint Consortium Bi-Annual Meetings

  • Plans and organizes two consortium meetings per year 

Supports Clinical Placement Operations and Process Improvement

  • Primarily in BSN Pre-Licensure program to ensure flow/management student processing for compliance and ACEMAPP

  • Provides process improvement suggestions to the clinical team functions

  • Actively participates in clinical team meetings

Required Qualifications*

  • High School Diploma or equivalent;
  • 3 or more years of progressive administrative experience

Modes of Work

Hybrid:
The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.
