The Institute for Healthcare Policy and Innovation (IHPI), formed in 2011, is the nation?s leading university-based institute of over 850 health services researchers evaluating how health care works and how it can be improved, and utilizing evidence-based research to inform policy and practice. IHPI is seeking an energetic and motivated Meetings and Special Events Manager to oversee and coordinate a variety of high-quality Institute and member events, webinars, seminars, and conferences.

Responsibilities*

 

Overall Responsibilities

  • Oversee and execute all IHPI events, including several major annual events such as the Member Forum, National Advisory Board Meeting, Director?s Lecture, and Member Tailgate, in addition to numerous seminars, symposia, webinars, receptions, and other IHPI events throughout the year. Work effectively and collaboratively within a large, interdisciplinary membership representing multiple schools, colleges, and programs across the U-M campus, health system, and medical school.
  • Manage facility selection and contract negotiations, including event rentals, food and beverage catering, florists, audio visual services, etc.
  • Provide event planning consultation and assistance to faculty members, partner programs, and Centers and Programs affiliated with the Institute.
  • Select, order, and disseminate custom IHPI promotional materials (i.e., shirts, pens, lanyards, etc.).
  • Recommend and coordinate additional activities and events to maintain and stimulate member engagement.
  • Update and maintain the IHPI Events calendar as needed.
  • Develop and manage the annual events budget and conduct reconciliations and periodic reports on activity costs for all events and member-related activities.
  • Develop and administer post-event surveys; compile results and create summary reports. Monitor metrics to determine the success of events.
  • Coordinate the development, implementation, and administration of a variety of moderate to complex projects as directed and assigned by IHPI leadership.

Required Qualifications*

 
  • Bachelor?s degree and 5+ years of progressively responsible event management and administrative experience, or equivalent professional experience
    Successful work history demonstrating effective event planning, process management, and management of complex tasks.
  • Outstanding demonstrated organizational skills: ability to set priorities and manage multiple projects simultaneously under tight deadlines; ability to manage competing priorities in a dynamic environment.
  • Experience working with a relational database and project management platforms, or equivalent experience working with similar technologies.
  • Demonstrated ability to take initiative and tolerate some degree of ambiguity.
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint) and web-based email systems (Constant Contact, Mail Chimp, etc.)

Modes of Work

Work Locations

 

This position may be eligible for hybrid/flexible work opportunities at the discretion of the hiring department, with the understanding that this position will typically need to be on site 1-2 days/week and during member engagement events. The IHPI staff offices are located in the North Campus Research Complex (2800 Plymouth Road, Ann Arbor). Flexible work agreements are reviewed annually and are subject to change depending on the business needs of the hiring department throughout the course of employment.

This position is posted at the Meetings and Special Events Manager classification; however, it may be underfilled at a lower classification (Administrative Specialist Associate Healthcare) depending on the qualifications of the candidate.

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third-party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Reporting Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
