Responsibilities*

 
  • Schedule patients for multiple clinics; PreDoc, Graduate, Hospital Dentistry Clinic and Pediatric Orthodontics clinics.   
  • Works with faculty and resident providers on adherence to scheduling procedures.  
  • Manage phone calls by triaging calls, retrieving messages, calling patients to address concerns and scheduling appointments.  
  • Facilitate coordinating appointments with other departments (i.e. Endodontics and Oral Surgery) within the School of Dentistry (i.e. Endodontics and Oral Surgery).  
  • Maintain accurate patient records and documentation, ensuring compliance with confidentiality and privacy regulations (HIPAA).  
  • Accurately verify patient information, including demographic details, medical history, and insurance coverage. 
  • Assist dental providers with administrative tasks such as arranging follow-up appointments.  
  • Accurately and efficiently schedule patient appointments in eHR system.  
  • Obtain, verify, and update insurance, financial, and demographic information with the patient. 
  • patients regarding insurance benefits and liability for services.  Patient check-in and check-out for the Graduate, Predoctoral and Faculty Practice clinics.  
  • Communicate appointment changes, test results, or instructions to patients clearly and promptly. 
  • Meet with parents for consultation appointments to begin the treatment phase and confirm/verify financial arrangements/ payment plans and enter insurance.
  • Serve as the point of contact between patients, dental providers, and administrative staff.  
  • Monitor schedule to ensure Prior Authorizations and Predeterminations have been completed and scanned into MiDent.  
  • Review patient's insurance coverage for treatment being rendered before the appointment and prior to treatment. 
  • Review Treatment Plans with patients (with the assistance of the Graduate Residents.)  
  • Manage daily work queues.  
  • Develop, along with the Clinic Coordinator, standard of work to ensure clinics are productive and efficient.  
  • Maintain provider schedules and facilitate changes in the schedule based on availability of residents and faculty. 
  • Collect payments, co-pays and past due balances at patient check in/out using the established department/school guidelines.  
  • Enter Codes into the eHR system for patient financial liability.  
  • Determine insurance eligibility through patient card, check insurance tab, and also verify with guarantor.  
  • Maintain close contact and communication with insurance companies to verify benefits. 
  • Read and convey information on patient accounts and payment plans, including insurance information in MiDent. 
  • Monitor insurance payments for correctness. Maintain communication with DBO on insurance and accounts. 
  • Determine the need for adjustments and process refund requests when necessary.  
  • Create and maintain ortho payments plans, entering information to the patient card in MiDent. 
  • Create and maintain Children's Special Health Care Services (CSHCS) prior authorization forms, identify patients, verify coverage, collect data for prior authorization forms, handle x-rays and treatment plans, and type and track prior authorization approvals. 
  • Maintain and review schedule daily to ensure patient balances are collected at the start of the appointment. 
  • Verify Medicaid daily 
  • Reconcile daily cash and credit card payments.

Required Qualifications*

 
  • High School Diploma or equivalent combination of education and experience. 
  • Minimum 3 years of related work experience.

  • Experience in an outpatient clinic setting. 
  • Knowledge of dental terminology. 
  • Exceptional interpersonal and communication skills. 
  • Knowledge of dental insurance plans.

Additional Information

 

We are committed to maintaining a safe and healthy work environment for everyone. The process includes completing a two-step TB test for all new hires and providing proof of Hepatitis B immunization for clinic-facing roles.
