The International Programs in Engineering Office has been recognized as a leader in sending engineers abroad and supports College of Engineering students across a wide range of international experiences, including semester exchange, summer study abroad, student organization travel, internships, volunteer and research abroad, incoming exchange, and the International Minor for Engineers. This is a term-limited position available for approximately one year from the date of hire.

Responsibilities*

 

The International Programs Assistant will join a collaborative team of education abroad professionals committed to supporting meaningful international experiences for College of Engineering students. This position plays a critical role in the daily operations of IPE by providing frontline student support, maintaining accurate records, supporting application and enrollment workflows, coordinating events and outreach, and assisting with financial and administrative processes.

The person in this role will help ensure that student-facing services and backend operations are completed accurately, efficiently, and on deadline. The position requires excellent attention to detail, strong customer service skills, sound judgment, and the ability to manage multiple priorities in a fast-paced, student-centered environment. This position requires careful attention to data integrity, student privacy, deadlines, and compliance-sensitive processes related to student travel, health insurance, transfer credit, and financial documentation. The International Programs Assistant will work with some independence under the general direction of the IPE Administrative Coordinator and supervision of the IPE Associate Director.

  • Student Advising Support Services (40%)
    • Process student application materials in M-Compass and archive using U-M systems
    • Prepare study abroad transcripts for transfer credit posting- create credit memos for the Registrars Office and upload information into M-Compass 
    • Run queries and reports in M-Compass 
    • Assist advising team in application management (sending reminder emails, tracking missing materials, etc.) 
    • Provide direct advising to students about IPE through in person, phone and email correspondence 
    • Assist the enrollment process for international health insurance enrollment for all IPE student travelers
    • Assist with the transfer course approval process (TCAF) by submitting requests and tracking results and assist in the maintenance of the equivalency database. 
    • Support IPE Assessment Strategy by managing data collection process and archiving 
    • Assist with administrative tasks to support the International Minor for Engineers and Student Organizations
  • Office Administrative Services (30%)
    • Serve as front line office reception by greeting and assisting walk-ins, answering phone and general email questions
    • Order and maintain office supplies and marketing materials
    • Support calendar management for advising and events
    • Maintain orderly office environment including storage areas
    • Maintain accurate office records and files
    • Manage office shipping and mailing needs
    • Liaise with and maintain positive working relationships with various campus partners
  • Event & Outreach Coordination (20%) 
    • Plan and coordinate numerous office sponsored events and outreach initiatives in collaboration with the IPE team (room reservations, catering, rentals, material and supplies, event set-up, event clean-up).
    • Create marketing content using Canva to promote events and programs.
    • Manage IPE's Sessions account to facilitate event RSVP and attendance records
    • Assist with the distribution of target messaging through Sales Force 
  • Financial Support Duties (10%)
    • Assist the Administrative Coordinator by preparing documents needed for vendor invoices, wire payments, and short code purchases in OPS.
    • Assist with tracking student Financial Aid Forms for program participants

Required Qualifications*

 
  • Associate's degree or equivalent combination of education and experience.
  • Experience with administrative support with exemplary customer service skills. 
  • Excellent attention to detail and demonstrated competency for word-processing, spreadsheets, database, and data retrieval programs. 
  • Ability to work independently under general direction and support multiple team members and activities simultaneously with a high degree of organization, accuracy and attention to detail.
  • Demonstrated experience managing a dynamic workload. 
  • Strong written and oral communication skills and the ability to thrive in a fast-paced student-centered environment. 
  • Proven desire to learn and innovate processes with demonstrated initiative and problem solving skills and commitment to working collaboratively as part of a team.

Additional Information

 
  • This is an in-person M-F 8:00 AM - 5:00 PM position and is not approved for hybrid work.
  • The person in this role routinely moves through the building and around campus to attend meetings, events and access files and materials.
  • The person in this position occasionally lifts materials up to 30 pounds and transports them throughout the building and to other campus venues for events and meetings.
  • Occasional early morning, evening or weekend hours will be required.
  • This is a term-limited position available for approximately one year from the date of hire.
