Job Summary

 

The Department of Physical Medicine and Rehabilitation (PM&R) is seeking a GME Program Administrator Intermediate to support our educational programs, including:

  • ACGME Core Residency (18 residents) 

  • ACGME Pediatric Rehabilitation Medicine fellowship (2 fellows) 

  • ACGME Spinal Cord Injury Fellowship (1-2 fellows) 

  • Potential for involvement with and development of other educational programs (e.g., medical students, additional fellowships to be added). 

 

Our mission is to develop Physical Medicine and Rehabilitation physicians and specialists motivated to provide outstanding care for a wide variety of patients, including those with complex needs. We are looking for an organized individual who is detail oriented and enjoys working in education and partnering with our program directors. An ideal candidate can manage multiple projects and write detailed summaries while working in and encouraging a learning environment. The ideal candidate would have many of the following attributes: 

  • Interest in and passion for supporting and improving the educational programs and trainee experiences 

  • Desire to assist trainees, students and faculty toward educational goals 

  • High attention to detail, reliability and accountability 

  • Excellent communication skills, via multiple modalities (email, messaging, etc.)

  • Proactive approach to problem-solving in a collaborative way 

  • Ability to listen for, identify and prioritize important concerns and directions

  • Preparedness to develop expertise to advise and participate in program development 

  • This position also works with the PM&R national association of program coordinators and may represent the department with those organizations.

 

 

Responsibilities*

 

 

  • Maintain House Officer schedules via QGenda

  • Create and maintain conference schedules to include daily conference room set up and knowledge of conference room equipment (Zoom)

  • Distribution of House Officer evaluations using MedHub

  • Assist with House Officer recruitment and orientation

  • Support to Program Director and oversight of GME Program Administrator Associate, including supervision responsibilities 

  • Collaborates in management, interpretation, and analysis, and makes recommendations of certain aspects of the residency or fellowship program and implements changes approved by program leadership.

  • Prepares, coordinates, and monitors residency or fellowship related administrative activities through the application of broad GME knowledge, practices and principles in conjunction with, or occasionally on behalf of, the Program Director.

  • Assists, tracks, and organizes residency or fellowship related administrative activities through applying fundamental knowledge in conjunction with the Program Directors.

  • Administrative support such as calendaring, meeting scheduling, and event planning related to program needs for the Residency Program Director.

  • Grand Rounds support, including MiCME management, scheduling, on-site set-up, and communication.

  • Other duties as assigned

Required Qualifications*

 
  • BA or equivalent combination of education and experience

  • 3-5 years of progressively responsible administrative experience.

  • Excellent oral and written interpersonal communication skills.

  • Ability to exercise discretion and judgment in matters of sensitive or confidential nature.

  • Considerable skill in Microsoft Office (Word, Excel, and Power-Point).

  • Ability to manage multiple and competing priorities.

  • Individual must be able to work with a variety of personalities. Must communicate effectively with customers and other team members to keep assigned tasks moving forward, formatively evaluate progress and readjust.

  • Self-motivated with excellent organizational skills and ability to multitask in a team environment. Must be able to prioritize tasks that will change daily. High level of interpersonal and communication skills required along with the ability to problem solve issues without direct supervision.

  • Proficient with Outlook including calendar management, Word, Excel, PowerPoint, and data/technology management.  

Desired Qualifications*

 
  • GME experience

  • Experience in an academic health system

  • Knowledge of accreditation, institutional, and/or Department policies, procedures, and practices. 

Modes of Work

 

This position is only eligible for in state remote work mode. Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work Schedule

 

40 hours per week, Monday - Friday, hybrid.
