Job Summary

 

The office of Patient Relations & Clinical Risk is looking for a qualified candidate for the position of Administrative Assistant Intermediate Healthcare. This position will support multiple staff members. The candidate must exercise considerable discretion in matters of a highly sensitive or confidential nature and possess highly developed organizational and communication skills. The candidate must be able to complete multiple tasks simultaneously and prioritize work, along with a commitment to Michigan Medicine core values, including service excellence. A successful candidate will have the ability to work both independently and as a part of a collaborative team. This position is part of PRCR`s call center triage.

Responsibilities*

 
  • Telephone triage and reception of internal and external visitors to our Core Functions Team. Effective response and follow-up of inquiries made by customers applying a broad knowledge of principles, practices, and procedures. Excellent customer service skills required.
  • Provide accurate documentation, data entry, updates, and queries of a highly confidential nature in department specific applications and data systems (such as ServiceNow, SharePoint, RLDatix, and others).
  • Initiate, compose, and edit correspondence regarding matters of a sensitive or confidential nature meeting time sensitive deadlines. Excellent writing and grammatical skills required.
  • Additional support for Patient Relations e-mail box, PRCR e-mail box, Press-Ganey Reports, Web Comments, House Manager and AOC responses.
  • Completion of regular data reports.
  • Project work as needed.
  • Maintain electronic calendars and initiate, coordinate, and schedule meetings.
  • Provide back up and cross coverage for other Administrative Assistants.
  • Perform other duties as assigned.

Required Qualifications*

 
  • Bachelor's degree or equivalent combination of education and experience  
  • Two or more years of progressively responsible office or other related professional experience
  • Excellent interpersonal skills to handle sensitive and confidential situations that require demonstrated poise, tact, confidentiality and diplomacy
  • Excellent written and oral communication skills with the ability to effectively communicate and collaborate with all levels of constituents 
  • Ability to produce professional correspondence
  • Advanced proficiency with calendar management systems 
  • Excellent organizational skills
  • Demonstrate ability to set priorities, handle multiple assignments, work collaboratively with team members, and meet competing deadlines
  • Self-motivated with the ability to problem solve issues without direct supervision
  • Considerable skill in Microsoft Office (Word, Excel, Access, Publisher, Visio, and PowerPoint) in a PC environment. Experience in RLDatix a plus. Experience using database programs a plus.
  • Excellent attendance and punctuality required.
  • Willingness to perform a wide range of tasks 
  • Must have flexible scheduling with occasional after-hour work as necessary

Desired Qualifications*

 
  • Call Center experience welcomed
  • Prior experience working in academic healthcare or academic research setting
  • Knowledge of medical school, hospital and/or clinical department policies and procedures 
  • Knowledge of University of Michigan policies and procedures preferred

Modes of Work

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
