Job Summary

 

Provide high-level clerical, scheduling, and administrative support within a Pediatric Cardiology outpatient clinic setting. This position supports daily clinic operations, patient access, provider scheduling coordination, insurance authorization processes, charge reconciliation, and patient flow activities while maintaining excellent customer service and collaboration with multidisciplinary teams.

Responsibilities*

 
  • Provide professional and courteous telephone support for patients, families, referring providers, and internal staff.
  • Perform front desk operations including patient check-in/check-out, registration verification, insurance updates, and follow-up appointment scheduling.
  • Coordinate patient scheduling, rescheduling, cancellations, and referral management through MiChart/EPIC.
  • Support efficient patient flow in collaboration with providers, nursing staff, and sonographers.
  • Obtain and coordinate prior authorizations for clinic visits, diagnostic testing, and procedures; serve as a resource for insurance and manage care-related questions.
  • Process medical record requests, manage incoming fax documentation, and ensure timely scanning and indexing into MiChart.
  • Maintain provider clinic templates and schedules as a CSU Super User/Template Editor within MiChart.
  • Retrieve and track outreach and hospital-based echo documentation for operational and billing purposes.
  • Complete monthly charge reconciliation activities to support accurate billing processes.
  • Back up support for Daily Red Bag Checks
  • Maintain clinic supply inventory and coordinate ordering to support daily operations.
  • Process and distribute incoming and outgoing mail, overnight deliveries, and electronic communications.
  • Identify operational concerns and participate in workflow improvement and problem-resolution efforts.
  • Demonstrate flexibility, independent judgment, strong organizational skills, and the ability to manage multiple priorities in a fast-paced clinical environment.
  • Maintain collaborative working relationships across ambulatory care units and operational teams.
  • Monitor and maintain a clean, organized, and welcoming patient waiting area.
  • Perform additional administrative duties and special projects assigned.

Required Qualifications*

 
  • High School Diploma or GED required
  • Minimum of 3 years experience. 
  • Excellent attendance and reliability
  • Previous PSA experience
  • Strong organizational, time management, and problem-solving skills
  • Ability to work independently with minimal supervision
  • Experience with MiChart/EPIC preferred
  • Proficiency in Microsoft Word, Excel, and Outlook
  • Excellent customer service and communication skills

Desired Qualifications*

 
  • Experience obtaining prior authorizations for clinic and procedural services
  • Experience with patient charge entry and reconciliation processes
  • Experience with complex provider scheduling in a clinical setting
  • Prior ambulatory or specialty clinic experience preferred
