Job Summary

 

The Business Manager provides administrative leadership and coordination for the Division of Hospital Medicine, one of Michigan Medicine?s largest clinical divisions (~300 employees across faculty, APPs, and staff). Reporting to the Division Administrator, this role oversees day-to-day administrative operations, people management, facilities, and divisional projects. The Business Manager works in close partnership with the Division Administrator and Division Chief to support operational continuity and provides interim division management assistance as needed.

This role manages a team of four direct reports, including two team leads who supervise their own staff, and oversees administrative functions across operations, HR, faculty affairs support, and facilities.

Responsibilities*

 
  • Administrative Operations Oversight 

    • Provide leadership and oversight to four direct reports across operations, faculty affairs, administrative support, and coordination functions ? ensuring quality, accountability, and cross-team alignment

    • Oversee administrative team performance, professional development, and succession planning in partnership with the Division Administrator

    • Provide interim division management assistance as needed during Division Administrator absences

    • Partner with the Division Administrator on workflow coordination and process improvement across the division

  • Facilities & Space Management 

    • Manage space allocation, planning, and optimization across division locations

    • Coordinate facility renovations, moves, and equipment procurement in partnership with Michigan Medicine Facilities

    • Develop and maintain facilities-related policies and procedures; serve as division liaison to central facilities leadership

  • HR & People Strategy ? Staff 

    • Manage staff HR functions including hiring, onboarding, offboarding, and performance management; transactional HR coordination is managed by the administrative operations team

    • Partner with central HR on compensation analysis, reclassification requests, and position description maintenance

    • Handle employee relations matters and ensure compliance with U-M HR policies and Standard Practice Guide

    • Support staff engagement, development planning, and performance management cycles

    • Coordinate with central HR/HRBP on complex employee matters and escalate appropriately

  • Faculty Affairs Partnership 

    • Provide administrative support on faculty matters including compensation, effort allocation, and role changes as needed; day-to-day faculty operations are managed by the Faculty Operations Manager

    • Escalate complex faculty situations to the Division Administrator and Division Chief as appropriate

    • Support compliance with Faculty Affairs processes, credentialing, and appointment/reappointment as needed

  • Divisional Projects & Leadership Support 

    • Coordinate administrative projects spanning HR, finance, procurement, and operations; perform special projects as assigned by the Division Administrator or Division Chief

    • Initiate, develop, and implement policies, procedures, and controls for administrative functions

    • Evaluate operational workflows, identify gaps, and drive process standardization and continuous improvement

    • Handle sensitive and confidential information with discretion; provide analysis and implementation support as directed by division leadership

    • Maintain divisional administrative calendar and support continuity of operations planning

    • Participate in divisional and Michigan Medicine forums as appropriate, representing administrative operations; serve as a supporting resource to the Division Chief on administrative matters, maintaining awareness of divisional priorities and faculty dynamics

Required Qualifications*

 
  • Bachelor's degree or equivalent combination of education and experience

  • 3+ years of progressively responsible administrative or operational experience in a relevant field

  • Prior supervisory or team lead experience, including hiring, performance management, and professional development

  • Demonstrated ability to manage competing priorities and exercise independent judgment in a complex environment

  • Excellent planning, organizational, and work coordination skills with strong attention to detail

  • Excellent oral and written communication skills; ability to build collegial relationships across a large, diverse organization with discretion, diplomacy, and initiative

  • Ability to work well under pressure and manage multiple priorities in a dynamic environment

  • Comfort working with leaders and employees at all levels; forward-thinking and service-oriented

  • Ability to collect, analyze, and present data using Excel and PowerPoint

Desired Qualifications*

 
  • Experience in academic medicine, healthcare, or higher education administration

  • Familiarity with University of Michigan HR systems, Standard Practice Guide, and Michigan Medicine operational structure

  • Experience with faculty affairs, HR, payroll, or effort reporting

  • Knowledge of University organizational structure, policies, and practices

  • Experience managing staff who also supervise others

Modes of Work

 

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Work Locations

 

This position is based on the 4th floor of University Hospital South. The role is hybrid-eligible with a minimum of one required on-site day per week to maintain team presence and operational continuity. Additional on-site time may be required based on divisional needs.

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings. Background screenings are performed in compliance with the Fair Credit Report Act.
