Maintain and oversee the division?s QGenda schedule, including provider coverage assignments for clinical and administrative responsibilities, provider time-off updates, clinic closures, and resident/student rotation scheduling.
Provide administrative support to faculty and staff, including calendar management, meeting coordination, agenda and minute preparation, CV maintenance, and travel arrangements and reimbursements through Concur.
Monitor and maintain office and EEG lab supply inventory, ensuring adequate stock levels and timely ordering of materials.
Manage PCard reconciliation for clinical supplies and division-related purchases, ensuring accurate documentation and compliance with institutional purchasing guidelines.
Coordinate schedules for medical students and trainees, including rotation assignments, communication with faculty and learners, schedule updates, and processing educational reports.
Maintain and update division resources, including contact lists, Wiki/SharePoint content, and other reference materials.
Organize and distribute peer chart review surveys and metrics, ensuring timely collection, tracking, and reporting of data.
Manage Pediatric Neurology office mail, including sorting, distributing, and routing correspondence as appropriate.
Support faculty and resident recruitment activities, including coordinating onsite visits, scheduling interviews, preparing materials, and assisting with recruitment logistics.
Assist with employee and faculty onboarding activities, including coordinating equipment and supply orders, preparing workspaces, conducting tours, and providing ongoing administrative support.
Coordinate CME-related activities for weekly and monthly meetings, including scheduling, communication, and preparation of materials.
Provide administrative and phone coverage support for EEG Lab operations as needed.
Perform additional administrative and operational duties as assigned in support of division needs.
