Job Summary

 

This position provides high-level administrative, operational, and project coordination support to the faculty affairs/employee services team within the Department of Ophthalmology and Visual Sciences at the Kellogg Eye Center. The role requires exceptional organizational skills, strong judgment, discretion with highly confidential information, and the ability to independently manage multiple competing priorities in a fast-paced academic medical environment. The Administrative Project Coordinator serves as a key operational team partner working together to support all we serve. 

Responsibilities*

 
  • Apply independent judgment and sound decision-making while managing complex
    administrative responsibilities and responding to highly sensitive and confidential
    matters with professionalism, discretion, and exceptional customer service.
  • Provide advanced administrative and operational support to the team, including
    coordination of special projects, support of process improvement initiatives, and
    completion of complex PAR transactions while ensuring accuracy, efficiency, and
    compliance with institutional policies and procedures.
  • Backup and assist with faculty and staff job postings. Job and training verifications.
  • Compile, maintain, and monitor spreadsheets and data tracking tools to support
    departmental operations, reporting, and team initiatives.
  • Coordinate onboarding and offboarding activities for new faculty and staff, ensuring
    integration into departmental systems, training, directories, shared drives, email
    groups, be an authorized signer and other institutional resources.
  • Learn faculty appointment hiring, for processing and back up.
  • Support faculty credentialing and recredentialing activities, including preparation and
    tracking of required documentation
  • Renew and maintain faculty state and federal licenses and assist with related
    compliance activities.
  • Be a Cornerstone Learning facilitator for compliance activities and assist with training
    enrollment and technical support.
  • Manage account sponsorships in MCommunity and related institutional systems.
  • Have a PCard and reconcile PCard statements through Emburse Enterprise and
    support team purchasing and reimbursement activities
  • Organize meetings, prepare presentations, coordinate Zoom logistics, edit presentation
    materials, and compile supporting documents.
  • Provide traditional administrative support including scanning, printing, ordering o??ice
    supplies, maintaining electronic files, drafting correspondence, and managing
    departmental records.
  • Collect, sort, and distribute departmental mail.
  • Collaborate closely with administrative teams across finance, clinical operations,
    research, education, marketing, and, development.
  • Provide backup support to employee services and faculty affairs operations as needed.
  • Perform additional duties as assigned.

Required Qualifications*

 
  • High school diploma or equivalent.
  • Minimum 2 - 4 years of administrative, project coordination, or related professional
    experience.
  • Excellent computer skills and proficiency with Microsoft Office Suite and Google
    documents.
  • Strong organizational, written, and verbal communication skills with a
    demonstrated customer-service focus.
  • Ability to prioritize and manage multiple competing deadlines in a fast-paced
    environment with frequent interruptions.
  • Strong attention to detail and ability to maintain accuracy while managing high volume
    work.
  • Demonstrate initiative, creativity, resourcefulness, and problem-solving ability.
  • Ability to maintain strict confidentiality and exercise sound judgment with sensitive
    information.
  • Demonstrate the ability to collaborate effectively within a team-oriented
    environment.

Desired Qualifications*

 
  • Four or more years of recent administrative support experience in a complex
    professional environment.
  • Experience working in higher education, healthcare, or academic medicine.
  • Knowledge of University of Michigan systems, policies, and procedures.
  • Experience using Emburse Enterprise and institutional administrative systems.
  • Experience supporting multiple stakeholders in a fast-paced team environment.
  • Flexibility to occasionally work outside standard business hours.

Modes of Work

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
