Job Summary

 

The Brighton Center for Specialty Care is seeking an energetic, customer-focused team player to join our staff as a Patient Services Intermediate. This role functions as a key member of the care team within the Oncology Clinic, supporting nursing and provider staff with a strong focus on administrative coordination, documentation, and exceptional patient/customer service.

The ideal candidate will play an integral role in supporting oncology patient care by assisting with complex paperwork, facilitating communication between patients and the care team, and ensuring a seamless and compassionate patient experience throughout the course of treatment.

Responsibilities*

 

Serve as a clerical assistant to the clinical team in the Oncology Clinic at the Brighton Center for Specialty Care. Provide administrative and clerical support while working collaboratively with oncology providers, clinical care coordinators, patients and families, medical assistants, and administrative staff to support complex oncology care coordination.

  • Obtain authorizations using appropriate diagnosis and/or procedure codes for oncology-related medications, patient assistance programs, and durable medical equipment.
  • Gather required insurance information and documentation to support letters of medical necessity for oncology treatments and services.
  • Track pending authorizations and maintain accurate case files until approval or denial.
  • Provide cost information for patients without insurance or without prior authorization when needed.
  • Assist the care team in obtaining necessary medical records to support completion of FMLA and disability documentation for oncology patients.
  • Provide fax server and in-basket management support to oncology providers and nursing staff.
  • Conduct pre-visit planning for new and returning oncology patients, ensuring referrals, imaging, labs, and treatments are completed as directed.
  • Communicate directly with patients to confirm appointments and provide visit-related information.
  • Work under functional supervision of clinic leadership, exercising sound judgment in identifying issues and implementing appropriate solutions in a fast-paced oncology setting.

Required Qualifications*

 
  • High School diploma or GED required.
  • Demonstrated excellence in customer service when interacting with patients, families, faculty, staff, and peers.
  • Consistently maintains a positive, professional attitude and delivers outstanding service in all interactions.
  • Strong team player with the ability to take direction and communicate respectfully and effectively with patients, families, and colleagues.
  • Highly detail-oriented with the ability to multi-task in a fast-paced, high-volume oncology clinic environment.
  • Effective verbal and written communication skills.
  • Strong computer proficiency across multiple applications, with experience in a medical office or outpatient setting.
  • Flexibility to adapt to changing work assignments and priorities.
  • 1-2 years of relevant experience.
  • Basic knowledge of medical terminology, with preference for oncology-related familiarity.
  • Exceptional interpersonal and communication skills.
  • Experience obtaining medical records.
  • Demonstrated strengths in active listening, written and verbal communication, and use of information technology systems.

Desired Qualifications*

 
  • Experience with patient check-in/check-out processes using EPIC (Cadence) scheduling.
  • Previous experience in a multidisciplinary and/or oncology or surgical clinic setting.
  • Proficiency with CareWeb, EPIC (MiChart), Outlook, and the ability to navigate multiple systems efficiently.
  • Experience working in a large, complex healthcare environment.
  • Familiarity with Michigan Medicine electronic medical record systems.
  • Knowledge of university policies and procedures.

Modes of Work

  • Monday - Friday, 8:00 a.m. - 4:30 p.m.
  • Schedule may vary based on clinic coverage needs.
