Department Summary

Michigan Housing is an actively engaged unit within Student Life Auxiliary Services within the Division of Student Life. M Housing serves approximately 11,500 students; 9,100 undergraduate and 2,400 graduate and professional students and their families. Although first-year students are not required to live on campus; historically 96-98% of all new first-year students choose to live on. Currently, the M Housing portfolio consists of 19 residential facilities that include traditional residence halls, apartments, and other living options located in communities on north and central campuses in Ann Arbor. In partnership with Michigan Dining, there are 9 dining halls and 9 retail operations embedded within the residence halls that serve approximately 4 million meals per year. Beginning Fall 2024, M Housing partnered with other units and departments within Student Life to support the residential experience for a small cohort of U-M students U-M students on the Marygrove campus, located in Detroit. In Fall 2026, five new residence halls housing 2,300 undergraduate students and a new 822-seat dining facility will open to continue M Housing's strong tradition of providing affordable housing options and services for U-M students. In addition to supporting the academic mission of the University, M Housing creates and sustains vibrant learning-centered residential communities that ultimately enhance the residential experience and serve as a guide for their work in support of creating a sense of belonging for students.

Job Summary

This position supports the senior leadership of Residence Education: the Director in addition to Associate Directors and other Michigan Housing full-time leadership team members. This position manages Housing-wide processes, nuanced communications to internal and external populations, financial management, and serves as a liaison to external groups. The role aids in the overall success of the department by managing complex processes on behalf of Michigan Housing
 

40% - Financial Management

• Lead in the management of reconciling and reporting for multiple Residence Education departmental budgets totaling over $3,000,000.
• Develop and manage processes, tracking documents, procedures and staff training related to budgets.
• Train and advise full-time and student staff on best practices related to various purchasing options and payment processes, following Student Life and University policies and procedures.
• Develop and provide budget projection data to Student Life Business and Finance Office on a quarterly basis.
• Manage the Student Life GAP Analysis process for all Residence Education budgets.
• Advise full-time staff on process to pay vendors, including W-9s, Entertainment Contracts, Quotes, Invoices.
• Manage the collection of data, complete Procurement Request Forms, process Purchase Orders through Student Life Business Office.
• Manage the collection of data, complete People Pay forms for suppliers and process through Student Life Business Office.
• Manage the collection of data, complete non-PO Voucher data and Process through Student Life Business Office.
• Serve as a delegate to all Residence Education p-card holders to assist in the reconciliation process.
  Process ResStaff payment for on-call pay during season and holidays in communication with campus and university partners.

40% - Administrative Process Management:

• Provide administrative support to the Director and Associate Directors of Residence Education, managing time and content sensitive information confidentially.
• Update the Michigan Housing website per departmental in collaboration with Michigan Housing Communications team members.
• Communicate and track approval to Residence Education staff regarding professional development funding.
• Support full-service recruitment of full-time staff members throughout the department under the guidance of the Director. Inform multiple offices during the on-board and off-board process for all new and departing Residence Education staff to ensure updated records across all University systems.
• Process the U-M system-sponsorship of non-U-M affiliated persons, mainly with the ACUHO-I and professional organization hiring process.
• Manage the process to move live-in staff, coordinate with staff and strategic supplier movers, on an annual basis.  
  Staff apartments coordination - process with Facilities and Auxiliary Capital Projects staff for cleaning and furnishing of staff apartments during departmental reorganizations and hiring of new live-in staff.
• Manage travel reimbursements for recruited candidates and guests.
  Assist with basic StarRez Residence Education process support, such as weekly updates of community newsletters.

20% -  Housing-wide Departmental Responsibilities

• Managing space use requests from living-learning community and academic partners, as well as advising building staff on proper process and policy for various space use requests.
• Provide on-site coverage for the primary reception desk  in the Michigan Housing and Dining Services Administrative Suite.
• Provide administrative support for the selection and training experiences of Michigan Housing team members, including student leaders, full-time staff, and temporary employees.
   

• High School Diploma or equivalent.
• Minimum of four years of office or administrative experience.
• Must be able to set priorities, attend to detail, work simultaneously on numerous tasks, and meet deadlines.
• Problem-solving and critical thinking skills, and able to handle sensitive information confidentially.
• Work Authorization: Must be legally authorized to work in the United States without company sponsorship.
   

• The ability to communicate and relate effectively with students, staff, and faculty.
• Demonstrated ability to communicate clearly and work effectively in an environment characterized by change.
• Must have demonstrated ability to use Google Office Suite software.
• Must demonstrate a commitment to working as part of a team as well as independently.
• Ability to provide excellent customer service to university students, faculty, and staff, and public stakeholders.

Some nights and weekends are required.

Physical requirements

The incumbent may be required to be stationary for long periods of time.  Extensive computer and keyboard use required. May need to move packages of up to fifty pounds to and from various areas in the community. The incumbent is required to frequently travel around campus to complete tasks.

Selected candidates whose start date is 4/1/2026 or after, will not be eligible for the university FY26-27 salary/merit plan unless otherwise notified.
