Job Summary

 

The Senior Clerical Supervisor is responsible for leading and managing a team of clerical staff supporting OR/PACU areas within the University Hospital (UH), Cardiovascular Center (CVC) and Pavilion (PAV). This position oversees a combination of office, clerical, and operational activities, serving as a crucial liaison between Pre-op/OR and PACU and ensuring the smooth, efficient functioning of non-clinical procedures and optimizing workflow in a dynamic, multifaceted healthcare environment. This position provides leadership, stability, and continuous improvement in the surgical clerical operations, partnering with other departments to assure the highest levels of operational effectiveness, staff competency, and patient and family experience.

Responsibilities*

 

Staff Leadership & Human Resources
 

  • Directly supervise and mentor UH, CVC and PAV OR/PACU clerical staff, ensuring professionalism, service excellence, and ongoing development through coaching and training. Serve as clerical back-up when needed
  • Manage all personnel functions?including assisting in training, scheduling, evaluating, disciplining, and recognition of staff?ensuring compliance with institutional policies and employment laws
  • Oversee payroll, time approval, monitor attendance, and leave-of-absence activities (PTO/PTU/FMLA)


     

Operations & Process Improvement

  • Plan, organize, and supervise daily clerical responsibilities and office functions; assess and schedule staffing to meet unit needs efficiently
  • Act as a central point of contact for multiple departments, facilitating information sharing, systems integration, and problem resolution for unit-level challenges
  • Ensure competency and continued professional growth of clerical team through ongoing education
     

Patient, Family & Guest Service

  • Respond to inquiries and concerns from patients, families, clinicians, and other departments, working to resolve issues quickly and effectively
  • Champion service excellence and patient experience as a consistent priority
     

Teamwork & Communication

  • Cultivate an atmosphere of mutual respect, adaptability, and teamwork; consistently share information and resources to support optimal team performance
  • Communicate and escalate concerns and issues appropriately to maintain operational integrity
  • Assist in onboarding and training new team members and volunteers, helping Training Specialist to maintain accurate and current training documents and checklists
     

Required Qualifications*

 
  • Education: Bachelor's degree or equivalent combination of education and experience
  • Demonstrated supervisory experience, preferably managing a large team: strong analytical, problem-solving, and conflict resolution skills
  • Ability to work independently and collaboratively in a fast-paced setting
  • Effective interpersonal and communication skills with an inclusive approach within diverse populations
  • Proven ability to handle confidential materials and situations
  • Working knowledge of university and departmental policies, rules, and regulations.

Modes of Work

 

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Work Schedule

 

This 40-hr, full-time position is Exempt and may require additional work hours for completion of projects or normal work.  This position may require weekends, nights, holidays and an on-call work schedule.

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
