Job Summary

 

University of Michigan Health Supply Chain Services is seeking a highly organized and proactive Senior Administrative Assistant to support our corporate team based in Ann Arbor. In this role, you will serve as a critical operational partner to multiple supply chain teams, ensuring seamless day-to-day administrative functions that directly support Michigan Medicine's mission of advancing health to serve Michigan and the world.

This position offers the opportunity to develop broad organizational expertise across HR coordination, financial processing, vendor management, space management, and executive support within one of the nation's leading academic health systems.

Responsibilities*

 

Administrative & Calendar Management

  • Manage complex calendars, schedule meetings, and coordinate appointments for multiple supply chain teams at the Ann Arbor location.
  • Serve as backup to the Executive Assistant in Supply Chain, providing seamless coverage for executive-level support functions.
  • Coordinate incoming and outgoing mail distribution for the department.

Financial & Budget Support

  • Process expense reports using university-approved systems, track departmental budgets, and reconcile invoices to ensure accurate financial record-keeping.
  • Maintain accurate and up-to-date records of supply chain transactions, including purchase orders, invoices, and delivery schedules.

Vendor Management & Compliance

  • Support vendor compliance through monitoring and management of credentialing, scheduling vendor visits, and coordinating administrative action to address vendor non-compliance.

Human Resources & Onboarding Support

  • Support managers with new hire coordination, including onboarding logistics and orientation scheduling.
  • Maintain HR files, org charts, staff rosters, and personnel records in compliance with university policies.
  • Assist with timekeeping entry, resolve timekeeping questions, and ensure payroll accuracy.

Facilities, Equipment & Operations

  • Coordinate office supply orders, IT equipment procurement (laptops, monitors), and vendor communications.
  • Manage space surveys and space management activities for the department.
  • Submit and track maintenance and facilities requests.
  • Administer departmental parking passes, including calendar management for shared-use passes.
  • Process requests for new or expired UM ID badges and key access.

Communications & Collaboration

  • Create and maintain email distribution groups, managing additions and removals as part of ongoing group management.
  • Maintain accurate records of supply chain administrative processes, functions, and digital assets.
  • Collaborate with administrative assistants and departments across the organization to support interdepartmental initiatives and projects.

     

Travel Coordination

  • Coordinate travel logistics for supply chain personnel, including booking flights, accommodations, and ground transportation.

     

Required Qualifications*

 
  • Associate's degree in healthcare administration, business administration, or a related field, or an equivalent combination of education and experience.
  • Minimum of 4 years of progressively responsible administrative experience, preferably in a healthcare, academic, or large organizational setting.
  • Exceptional organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain accuracy under competing demands.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, Teams, PowerPoint) and comfort learning new technology platforms.
  • Strong written and verbal communication skills, with the ability to interact professionally with both internal and external stakeholders.
  • Strong analytical and problem-solving abilities, with a proactive approach to identifying and resolving issues.
  • Demonstrated ability to exercise independent judgment, maintain discretion with confidential information, and operate with minimal supervision.
  • Proven ability to build effective working relationships across all levels of an organization.
  • Flexibility to adapt to changing priorities and work effectively in a fast-paced healthcare environment.

Desired Qualifications*

 
  • Knowledge of University of Michigan policies, procedures, and administrative systems (e.g., Wolverine Access, M-Pathways, Emburse, Concur).
  • Experience in a healthcare or academic medical center environment.
  • Familiarity with vendor credentialing and compliance processes in a healthcare setting.
  • Familiarity with HR onboarding processes, timekeeping systems, and budget tracking.
  • Experience with space management, facilities coordination, or office operations.
  • Demonstrated experience supporting multiple leaders or teams simultaneously.
  • Experience working effectively with individuals from diverse identities, backgrounds, and perspectives.
  • Experience with process improvement or creating administrative standard operating procedures.

Modes of Work

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act.
