Job Summary

 

The Athletics Human Resources Department delivers a full spectrum of talent lifecycle services to 400+ coaches and staff. The HR team builds trusting partnerships across the department and the University, approaches work with curiosity and continuous learning, and takes ownership of outcomes that matter.

The HR Generalist Associate supports the day-to-day administration of HR policies, programs, and processes across the Athletics Department. This is a high-volume, transactional role with meaningful exposure to the full employee lifecycle - from recruitment and onboarding through employment changes and offboarding. Reporting directly to the Assistant Athletic Director of Human Resources, you will be a key operational partner in ensuring HR accuracy, compliance, and an exceptional employee experience. This role is currently a hybrid model with three days in the office and two days remote. Depending on business needs, there may be occasions where more than three days a week in the office is asked of you.

Responsibilities*

 

Recruitment & Employment Processing

  • Manage the full-cycle recruitment process for exempt and nonexempt positions, including forwarding resumes, posting positions on internal and external sites, creating job offers, and initiating background checks.
  • Process and track all new hire paperwork and onboarding communications.
  • Verify that selected candidates meet posted requirements and ensure all pre-employment steps are completed accurately and on time.
  • Support hiring efforts by participating in candidate interviews for selected positions across the department, as needed based on role relevance.
     

Employment Transactions

  • Create, process, and approve Personnel Action Requests (PARs) and employment transactions in the HR system, including compensation changes, hires, terminations, leaves, and special pay processing.
  • Maintain accurate and up-to-date employee records.
  • Enter all new and/or updated coach contracts into the Total Contract Management software and manage the Contract Management System to ensure coaches receive accurate salary increases, additional compensation, and retention bonuses in a timely manner.
  • Respond to all UMAD HR Freedom of Information Act (FOIA) and employment verification requests.


Culture & Employee Relations

  • Serve as an approachable and confidential resource for staff concerns and workplace questions, supporting a speak-up culture grounded in trust.
  • Assist with culture-related initiatives.
  • Help ensure HR policies and practices are applied consistently and equitably across all employee groups, in alignment with the department's values of Accountability, Integrity, Respect, and Teamwork.


HR Programs & Analytics

  • Collect, maintain, and analyze HR metrics to evaluate program effectiveness.
  • Send new hire survey communications at the 90-day mark and track responses.
  • Support department-wide HR initiatives, communications, and continuous improvement efforts.
  • Maintain records and reporting in alignment with University and statutory requirements.

Required Qualifications*

 
  • Bachelor's degree or equivalent experience in HR, Business, or a related field; or a minimum of 2 years of experience in Human Resources or a collegiate or professional athletics environment.
  • Strong attention to detail with the ability to manage a high volume of confidential information accurately.
  • Comfort operating in a fast-paced, rapidly changing environment with strong multitasking and organizational skills.
  • Effective communication skills and the ability to build relationships with stakeholders at all levels.
  • Sound judgment in handling complex, confidential, and sensitive employee matters.
  • Experience identifying and implementing process improvements is a plus.
  • A genuine commitment to integrity, fairness, and doing right by people - even when it's hard.
