The Divisions of Pediatric Hospital Medicine and Pediatric Nephrology are seeking a qualified candidate as our GME Program Administrator that provides high-level support to the Administrative Director and Fellowship Program Directors.

Fellowship Coordinator Duties  

Provides high level programmatic management, analysis and interpretation of fellowship program through comprehensive GME knowledge.

• Collaborate with Program Director/Associate Program Director regarding accreditation requirements.

• Manages required documentation, preparations for, and participates in ACGME site visits, self-studies, and GME reviews. Annual updates to ACGME, ADS and surveys and evaluations. 
• Liaison between the national accreditation organization, Program Director, and GME Office
• Make recommendations for Program Evaluation Committee action items.
• Provides administrative supervision and support to house officers and investigates any questions and/or concerns.
• Functions as a liaison between the fellows, Program Director, faculty, GME Office, HR Labor Relations, participating site visits, other internal departments, and outside agencies.
• Mentor GME Program Administrators on all aspects of credentialing documentation related to fellows. Working closely with fellows to ensure completion of all required documentation for credentialing
• Implement processes and procedures that adhere to the HOA contract.
• Assists with investigation and development of new off-site rotations.
• Safeguards Program Letters of Agreement are accurate in conjunction with U-M Contracting
• Manages rotation schedule throughout the academic year.
• Creates content for recruitment materials and makes recommendations for process improvement.

• Creates, manages, and oversees all fellowship event planning and budgets.

• Coordinates Rank Meeting materials
• Organizes and arranges faculty members and current fellows for interviewing candidates.
• Arranges itineraries and schedules for candidates and executes recruitment days and problem solves.
• Collaborates in management, interpretation, analysis, and improvement of the fellowship program.

• Successful work experience with broad responsibilities in a large, complex organization
• Bachelor's Degree is required or equivalent to administrative work experience.

• Minimum 3 years of demonstrated experience in GME administration or program leadership role.

• Knowledge of Medical School,Graduate Medical Education, and ACGME Policies and Procedures
• Excellent people skills and ability to work as a cooperative team member with staff, other University offices, and outside constituents.
• Excellent oral and written communication skills
• Ability to manage a large and varied workload with excellent attention to detail and to meet deadlines in a timely manner while demonstrating flexibility when priorities and deadlines change.
• Capacity to exercise initiative, independent judgment, diplomacy, and confidentiality with a positive attitude.
• Excellent computer skills-proficient use of:

  • Excel, including basic management of numerical data (averaging scores, etc.); ability to learn and apply Excel formulas.

  • Database & spreadsheet management

• Microsoft Word (creating documents with different levels of headings, hyperlinks, tables, tables of contents, use of ?track changes? feature for collaboration)

• Email and calendar management

Supervision: Functional and administrative supervision is received from the Fellowship Directors and Administrative Director for Pediatric Hospital Medicine/Pediatric Nephrology

Hours: 40 hours

Shift; Days/Monday-Friday
