What You'll Do

 

You will provide day-to-day administrative support to the Chief Information Officer while coordinating purchasing, financial, and administrative activities for the IT team.

  • Support the Chief Information Officer by scheduling meetings, managing shared calendars, coordinating logistics, and tracking follow-up actions.
  • Coordinate technology purchasing requests, place orders, and guide customers through required procedures and approvals.
  • Prepare and route contract documentation after leadership approval and confirm required information is complete.
  • Track expenses, reconcile transactions, and prepare materials used for budget discussions and planning.
  • Maintain organized records, reports, and documentation to support audits and operational tracking.
  • Serve as the main contact for technology purchasing questions, resolving routine inquiries, and directing complex issues to the appropriate resource.
  • Coordinate hiring logistics, including scheduling interviews, communicating with candidates, and assisting with onboarding activities.
  • Collect information and prepare reports to help leadership monitor department activities and priorities.
  • Help maintain templates, shared resources, and documented procedures that keep team operations consistent and organized.
  • You will report to the Chief Information Officer for the School of Dentistry.

The School of Dentistry (SoD) IT department is looking for an IT Administrative Coordinator to join our team. In this role, you will provide direct administrative support to the Chief Information Officer (CIO) while coordinating purchasing, financial tracking, and maintaining organized records and departmental documentation. You will play a key role in ensuring requests move forward accurately and on time, supporting both leadership and department partners across the school.

Required Qualifications*

 
  • Associate's degree or equivalent combination of education and relevant administrative experience.
  • Four or more years of administrative or operational support experience in a complex environment.
  • Experience supporting executive leadership, including calendar management and meeting coordination.
  • Experience coordinating purchasing or procurement processes and supporting financial tracking or reconciliation.
  • Ability to organize and prioritize multiple tasks accurately while following established procedures.
  • Strong communication skills and ability to work effectively across diverse stakeholders.
  • Demonstrated service-oriented, courteous, and professional approach when assisting faculty, staff, students, and partners.
  • Ability to maintain confidentiality and professionalism when handling sensitive information.
  • Demonstrated reliability, dependability, and consistent punctuality in maintaining work schedules, responding to requests, and completing assigned responsibilities.

This position is located at the UM School of Dentistry, 1011 North University Ave, Ann Arbor, MI 48109-1078.

Modes of Work

 

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment. Learn more about the work modes.

Additional Information

 
  • Hours of Operation: Monday-Friday, 7:30 AM-5:30 PM. Clinics may operate until 7:30 PM one to two evenings a week and occasionally on Saturdays. IT system upgrades, critical fixes, and maintenance are performed outside of normal business hours.
  • We are committed to maintaining a safe and healthy work environment for everyone. As part of the onboarding process, all candidates are required to submit their immunization records to Occupational Health Services (OHS) prior to their appointment start date to verify their immunization status. The process includes completing a two-step TB test for all new hires and providing proof of Hepatitis B immunization for clinic-facing roles. Additional immunizations may be necessary based on public health guidance or specific job responsibilities.
