Job Summary

 

The Graham Family Athletic Career Center is a busy, student-focused office looking for a reliable, well-organized Operations Assistant to support day-to-day operations by coordinating programs, managing data and communications, assisting with event logistics, and helping ensure high-quality career and alumni services for student-athletes. The Office Assistant will be responsible for developing intra-office communication protocols, streamlining administrative procedures, assisting with alumni engagement activities, managing office inventory, and assisting the Director with special projects. This position has an expected start date of 4/6/2026 and is a 12 month appointment.

Responsibilities*

 
  • Assist in the day-to-day operations of the  Graham Family Career Center.
  • Greet all student-athletics and visitors to the office in a welcoming manner.
  • Coordinate logistics for career readiness programs, such as resume reviews mock interviews, professional skills workshops, and networking events.
  • Track attendance and engagement metrics for programs and assist with post-event evaluations.
  • Maintain student-athlete and alumni databases.
  • Prepare reports tracking student-athlete participation, outcomes, and program impact.
  • Support outreach efforts to alumni, including email campaigns, newsletters, and event invitations. 
  • Provide support in planning and executing alumni events and engagement initiatives.
  • Help maintain web pages and social media channels with up-to-date information on programs, office information, and opportunities.
  • Coordinate event venue reservations, catering, AV support, and event set up.
  • Assist with annual career outcomes surveys and placement tracking for student-athletes.
  • Provide operational help for partnerships with corporate recruiters, campus partners, and alumni networks.
  • Other duties as assigned.

 

Required Qualifications*

 
  • Associate degree required (B.A. or B.S. preferred)
  • Ability to work 20-30 hours per week (some evenings and weekends may be required).
  • Must be a self-starter who understands the need for detail and follow through.
  • Very customer service oriented.
  • Excellent verbal and written communication skills.
  • Ability to organize and prioritize multiple projects and tasks. 
  • Proficiency in Microsoft Office suite (Excel, PowerPoint)
  • Experience working in a fast-paced environment
  • Sound judgement and mature leadership qualities that involve a high level of confidentiality and discretion 
  • Experienced with Diversity, Equity, and Inclusive practices in the workplace.
