Overview

The Collaborative Quality Initiatives Operations (CQIO) team is seeking a positive, highly-motivated candidate to support the Blue Cross Blue Shield of Michigan (BCBSM) sponsored Collaborative Quality Initiatives (CQIs). The CQIs are a portfolio representing more than 20 statewide improvement programs focused on improving quality, safety, and clinical outcomes for many of the most common health care procedures and medical conditions. 

The University of Michigan is home to nineteen of the CQI coordinating centers. This position is part of the central CQI administrative team and is based in the Michigan Medicine Quality Department. This position is funded by the BCBSM Value Partnerships program. 

Job Summary 

The Administrative Specialist plays a key role in supporting operations across the CQI portfolio by facilitating effective coordination, information flow, and deliverables collaboration among BCBSM, individual CQIs, and CQIO. This position supports BCBSM requests, collects and manages critical data and documentation, and contributes to CQIO day-to-day activities while fostering strong working relationships with internal and external stakeholders.

Working independently and collaboratively, the Administrative Specialist supports the CQI Operations team by coordinating deliverables, managing schedules, preparing reports, and maintaining records, templates, and shared drives. The role also assists with special projects and ongoing programs and ensures timely, accurate communication across team members and stakeholders. The Administrative Specialist applies knowledge of healthcare systems and quality improvement to daily work and regularly interacts with leadership to support strategic initiatives, long-range projects, and statement of work objectives. 

Successful candidates are self-motivated, detail-oriented, and able to manage multiple priorities simultaneously. Strong analytical, organizational, and written and verbal communication skills are essential.

Responsibilities*

 

40% Assist with CQI Deliverable Submission

Coordinate and support the planning and collection of CQI deliverables, ensuring all tasks are completed on time

Maintain deliverable schedules, track progress, and report on key milestones to project managers and team members. Identify and address potential project issues or roadblocks and work with the team to find solutions

Assist in the preparation of annual and ad hoc reports

  • Oversee deliverable function of the portfolio such as preparation, communication and processing of submissions to CQIO
  • Manage calendar reminders

Support the preparation of deliverable reports and present content as needed

Act as a liaison between project teams and various stakeholders, facilitating clear communication and information exchange

25% Project

Aids in the coordination and management of various CQIO projects assisting the CQIO project manager and communications team as needed

Participate in project meetings, take meeting minutes, and follow up on action items

Collaborate with cross-functional teams to drive project success and achieve CQI portfolio goals

Present work-in-progress updates to stakeholders on an as-needed basis

Identify CQI-cross collaboration themes and develop best practices to gather and maintain timely portfolio figures

25% Administrative

Provide administrative support to project managers and operations team members, including handling correspondence and inquiries

Assists with day-to-day operations such as updating the portfolio SharePoint site, DropBox folders, and updating SmartSheets documents

Spearheads website modifications and enhancements

Organize and manage requests, office files, systems, drives, email groups, and online directories

Contributes to the preparation and coordination of portfolio meetings

10% Other Duties as Assigned

Required Qualifications*

 
  • Associates degree or equivalent combination of education and experience. 

  • Two or more years of previous related administrative experience. Our ideal candidate will have experience working in a team oriented, fast-paced work environment with a proven record of meeting deadlines, anticipating the needs of the team, and delivering a high-quality product. 

  • Demonstrated problem solving skills. Ability to work efficiently and independently with minimal supervision and maximum collaboration in a team environment. 

  • Strong written and verbal communication skills

  • Proven experience and strong proficiency working in programs such as: Windows, Microsoft Office applications (Word, Excel, PowerPoint, etc.) and Outlook.

  • Individual must be able to travel periodically within the state of Michigan for meetings (on average three times a year) 

  • Strong organizational skills and the ability to successfully complete multiple tasks within established and changing deadlines is required.

  • Demonstrated detail and customer service oriented skills

  • Exhibits a high degree of initiative, resourcefulness, and the ability to anticipate needs. 

  • Must be able to take direction from several people and have proven ability to prioritize tasks with conflicting deadlines, handle frequent interruptions, and meet deadlines 

Desired Qualifications*

 

Prior experience within the University of Michigan and familiarity with its systems, policies, and procedures. 

Experience with CQIs

Experience using project management software such as SharePoint or Smartsheet

Bachelor's degree

Background Screening
