Position Summary:

The University of Michigan Medical School seeks a highly skilled, organized, independent, and proactive Administrative Partner to join the Dean's Office to provide comprehensive administrative support to the Executive Director for Administration and Chief Operating Officer (COO). This pivotal role will serve as the COO's key administrative partner, supporting both strategic scheduling needs and core program operations, in a fast-paced environment.

Responsibilities*

 
  • Provide advanced, diversified, and confidential executive support, requiring broad and comprehensive experience, including coordinating with Michigan Medicine and University of Michigan offices, employees, leadership, faculty, students, and staff.
  • Manage the COO's calendar, coordinate meetings, and provide critical background information prior to meetings, ensuring the COO has relevant context.
  • Prepare, review, and distribute meeting agendas, presentations, and related documentation for executive and leadership meetings.
  • Serve as program coordinator for Michigan Medicine fellowship and internship programs within the COO's office, including communications, recruitment and event planning, and support for the programs' directors and participants.
  • Manage travel arrangements and process travel reimbursements.
  • Independently handle daily administrative operations, correspondence, and inquiries on behalf of the COO.
  • Anticipate administrative and logistical needs, proactively solve concerns and problems, and offer flexible solutions.
  • Contribute to special projects, reports, presentations, and process improvements as requested.

Required Qualifications*

 
  • Bachelor's degree or an equivalent combination of education and experience.
  • Minimum of 5 years of progressively responsible administrative experience, preferably in a complex academic or healthcare setting.
  • Demonstrated ability to independently prioritize workload, manage multiple complex tasks, and perform well under pressure.
  • Exceptional written and verbal communication skills.
  • Advanced proficiency with calendar, travel, and document management systems (such as Microsoft Outlook, Zoom, Emburse, Google Workspace).
  • Proven experience planning and supporting high-level meetings and programs.
  • High degree of professionalism, discretion, and confidentiality.
  • Adaptable, resourceful, and collaborative approach to problem-solving.

Desired Qualifications*

 
  • Prior experience supporting executive-level leadership.
  • Familiarity with University of Michigan policies, systems, and organizational structure.
  • Event and program management experience.

Work Locations

 

Ann Arbor Medical Campus, with some hybrid/remote flexibility as determined by operational needs.

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
