Job Summary

 

The Strategies to Innovate EmeRgENcy Care Clinical Trials Network (SIREN) is a clinical trials network funded by the National Institute for Neurological Disorders and Stroke (NINDS) and the National Heart Lung and Blood Institute (NHLBI). The Clinical Coordinating Center for SIREN resides within the Department of Emergency Medicine at the University of Michigan.

The SIREN Clinical Coordinating Center (CCC) is looking for an enthusiastic individual to join our team. This position serves as the high-level bridge between the scientific faculty (PIs) and the administrative machinery of CCC. This is a unique opportunity for someone interested in a leadership role in a nation-wide research organization.

The position reports to the Administrative Director and oversees with trial managers and site monitors the administrative functions for a portfolio of clinical trials run out of the SIREN Clinical Coordinating Center. The person in this role will work closely with the SIREN Principal Investigators and the Administrative Director on all leadership functions; will work with the

Finance Associate on the reconciliation of monthly trial expenditures; will oversee a subset of the SIREN clinical trial awards and serve as back-up for others; will create and submit reports to sponsors; will create and manage subcontracts; will lead the budget development for clinical trial proposals in the pipeline; and will collaborate on submission of trial proposals and grant applications. Other administrative activities include, but are not limited to, facilitating network meetings, covering project manager duties, creating invoices, and approving trial related expenses.

This role will supervise three positions within the SIREN CCC continually as well as additional staff as needed.

Required qualifications include a bachelor's degree in a relevant field, 2+ years of management experience, project management skills, and effective interpersonal communication abilities. Proficient use of word processing, spreadsheets and database desired.

What is SIREN? 

The Strategies to Innovate Emergency Care Clinical Trials Network (SIREN) is a research infrastructure that conducts NIH-funded clinical trials in the acute care setting at sites across the country. SIREN seeks to improve the outcomes of patients with neurologic, cardiac, respiratory, hematologic and trauma emergencies by identifying effective treatments administered in the earliest stages of prehospital, emergency department, and ICU care

Responsibilities*

 

Leadership

  • Establish operational objectives and assignments and manage daily operations for a portfolio of trials managed.
  • Provide leadership with suggestions for operational changes; contribute to the overall vision and strategy for SIREN CCC.
  • Help ensure the SIREN CCC meets measurable goals regarding operational effectiveness, customer service, and research attainment.
  • Leads budget development on new research ideas and works functionally internally and externally with new and existing collaborators to support clinical trial proposals in development.
  • Exercise independent judgment to determine courses of action within the framework of SIREN established policies, precedents, and program objectives.
  • Work under the guidance of the SIREN Network Investigators and Administrative Director with high professional standards.

Personnel Oversight:

  • Directly supervises three positions within the SIREN CCC continually as well as additional staff as needed.
  • Participate in the interviewing, selecting, and onboarding new staff.
  • Appraise employee productivity and efficiency; provide ongoing coaching, and training.
  • Request adjustments in effort and provide promotion recommendations.
  • Manage complaints and grievances, execute disciplinary actions, and handle hires and terminations or recommendations for status changes.
  • Provide guidance and mentorship to study team members.

Project Administrative Oversight:

  • Accountable for overseeing a portfolio of clinical trials, ensuring that projects meet study start-up tasks as scheduled.
  • Establish operational objects and assignments for trials overseen.
  • Assign and delegate complex tasks, leveraging the diverse skill sets and knowledge levels within the trial teams.
  • Ensures projects milestones are met, within budget, and according to contract.
  • Identifies and manages risks, issue resolution, and critical thinking for project teams.

Stakeholder Liaison:

  • Acts as the primary point of contact internally for center faculty, and the Office of Research and Sponsored Projects (ORSP) to facilitate timely communications and externally with trial sponsors, the Data Coordinating Center (DCC) and clinical sites SPA and contracts offices as needed.

Contract Management:

  • Leads the contractual workflow and manages all clinical research subcontracts and amendments for a portfolio of clinical trials.

Required Qualifications*

 

Administrative Manager - Intermediate 

  • Bachelor's degree in health care administration, Business Administration, Nursing or other health related field;
  • Previous experience to provide the knowledge, skills and ability to perform the job (comparable to 3+ years);
  • Reasonable prior management, supervisory or team leader experience is normally required
  • Demonstrated ability to prioritize and meet deadlines;
  • Exceptional organizational skills to meet deadlines and produce detailed and accurate work;
  • Excellent interpersonal, negotiation and problem solving/decision making skills;
  • Proven leader with exceptional team-building skills and a demonstrated track record of gaining the deep respect and trust of colleagues and subordinates alike;
  • Excellent organizational skills required;
  • Ability to work effectively across organizational lines and with diverse people.
  • Ability to thrive in a fast-paced environment where high energy, resiliency and attention to detail are required;

Administrative Manager - Associate

  • Bachelor's degree in health care administration, Business Administration, Nursing or other health related field;
  • Previous experience to provide the knowledge, skills and ability to perform the job (comparable to 2-3 years);
  • Reasonable professional experience with some prior management, supervisory or team leader experience is normally required. 
  • Proven ability to prioritize and meet deadlines;
  • Exceptional organizational skills to meet deadlines and produce detailed and accurate work;
  • Excellent interpersonal, negotiation and problem solving/decision making skills.
  • Excellent organizational skills required;
  • Strong computer skills including Microsoft Office suite;
  • Ability to thrive in a fast-paced environment where high energy, resiliency and attention to detail are required;
  • Demonstrated ability to motivate and integrate teams and teach/mentor team members.

Desired Qualifications*

 

The ideal candidate will have exceptional attention to detail and be proficient in research and financial administration for federally funded research. A prior role managing the administrative and personnel oversight for a portfolio of clinical trials internally or within a clinical research organization (CRO) or federal agency, is highly desired.

This position will be funded via funds from SIREN clinical trials grants. The network is a stable NIH resource that has been continuously funded for over 20 years.

Additional Information

 

The SIREN CCC operates as a hybrid workplace. You will be on-site at the SIREN CCC offices at Domino's Farms in Ann Arbor, with flexible scheduling and remote work opportunities as made available based on program and business needs.
