Position Summary
The SSW Office of Development and Alumni Relations is seeking a highly responsible, self-motivated, customer-centered, and detail-oriented individual to help us reach our fundraising goals. As a Development Coordinator, you will report to the Executive Director of Development and Alumni Relations. Key responsibilities for the Development Coordinator position will include supporting the daily activities of the Executive Director, serving as the primary administrative point of contact for all development functions, offering comprehensive stewardship and event support, and providing assistance to the development office for various functions. 
 

20% - Serve as the Administrative Partner to the Executive Director of Development and Alumni Relations. Activities will include, but are not limited to: 

• Provide administrative support to the Executive Director, helping to ensure smooth daily operations and effective time-management.
• Calendar management, including scheduling meetings, gathering availability from various individuals, and securing rooms for meetings.
• Assist with donor meeting preparation, including preparing donor briefings, developing detailed itineraries for donor visits and travel, securing parking, ordering catering or making restaurant reservations, compiling packets of materials, and being on-campus for visits to greet guests as needed or requested.
• Track and input visit notes in the Donor and Alumni Relations Tool (DART) on behalf of the Executive Director.
• Oversee expense reporting and reconciliation for the Executive Director.
• If a development board or campaign board is created, the Development Coordinator will be responsible in supporting board engagement activities in partnership with the Executive Director. This may include activities such as: securing a venue/room for meetings, ordering catering, coordinating parking arrangements, making hotel reservations, tracking of RSVPs, preparing meeting materials, tracking meeting minutes, and assisting with meeting follow-up.
   

40% - Maintain day-to-day Development and Alumni Relations Office Operations. Day-to-day functions will include, but are not limited to:

• Serve as a welcoming and professional point of contact for all visitors to the SSW Office of Development and Alumni Relations, including faculty, staff, students, alumni, donors, and guests.
• Handle calls received to the office's main phone line, respond to emails sent to the team's group email, and direct constituents to the correct resources, people, or teams as appropriate.  
• Process all gifts that come directly to the school and liaise with the Office of University Development (OUD) as needed. Take gifts to the U-M gift drop box on campus daily. 
• Record donor contacts, event attendance, and biographical updates in U-M's Donor Alumni Relations Tool (DART) via batch uploads or manually as required.
• Prepare and facilitate special mailings and coordinate with internal offices as well as through UPS, USPS, etc. 
• Provide basic prospect research. Assist in gathering and distributing briefing materials for donor visits and events for the Dean, Executive Director and other development staff.
• Assist in reconciling expense reports for members of the development office staff as needed.
• Order development-specific office supplies and branded materials, and maintain organization of storage closet resources/supplies.
• Provide event support during busy event seasons by assisting with event-related tasks and working events as needed and requested.
• Support the team by preparing team agendas, scheduling meetings, taking meeting minutes as requested, etc.
• Partner with SSW Business Office on financial functions such as creating new gift funds.
• Run routine and specialized reports from DART and Business Objects.
• Upload materials into DART, such as stewardship impact reports, Dean's letters, obituaries, and articles.
• Develop prospect lists for various purposes as requested and according to requests.
• Serve as key liaison with OUD on all aspects of football season coordination on behalf of SSW, including football events such as tailgate invitations, securing parking passes, briefings and any other football-related matters.
• Supervision of student employee(s) as needed.

40% - Stewardship:

• Assist the school's Stewardship Officer in maintaining and improving our donor stewardship program and processes. 
• Assist with the management of our scholarship stewardship program, including compiling packets to be sent to donors to demonstrate impact around donor support. 
• Assist in thanking donors in a timely and donor-centered manner by printing and mailing or emailing weekly acknowledgment letters and tribute notes promptly and accurately.
• Partner with the Stewardship Officer on recurring donor stewardship projects quarterly.
• Prepare personalized acknowledgment letters, tribute notifications, and notes.
• Work closely with the University's Gift & Records Administration to ensure that all gifts are properly processed and tracked, and donor information is accurately documented.
• Review and organize the weekly gift report; prepare acknowledgment letters/emails to thank donors in a timely and donor-centered manner.
• Prepare monthly birthday cards to be sent to top donors and friends of the school. 
• Prepare annual holiday cards by partnering with the SSW Marketing and Communications team to design them on an annual basis. Manage all elements of holiday card printing, list management, organization, obtaining signatures, mailing, and recording in DART.  
• Assist in celebrating special life events of alumni and donors through special recognition gifts, letters, or other forms of expression.
• Create special stewardship touches, such as photo books  for special occasions or following special events, print photos to be accompanied by personalized outreach to donors. 
• Record donor stories to aid in demonstrating donor impact to students and other donors.
• Assist the development team with development communications through the school's email platform, Constant Contact, or other tools as needed.
• Generate mailing lists with Development Services and Strategic Solutions as needed for email and print communications.
• Support other stewardship activities as assigned.
  
   

• A bachelor's degree or a combination of education and experience that enables the performance of all aspects of this position.
• Ability to work independently as well as effectively in teams. Must have the ability to work comfortably with individuals at all levels (faculty, staff, students, donors, alumni, etc.).
• Demonstrated attention to detail, ability to manage multiple tasks, ability to work independently, exercise initiative as a critical member of a small team, and function in a dynamic environment.
• Ability to prioritize and balance multiple projects with high-level accuracy in a deadline-driven, fast-paced environment while providing high-quality customer service.
• Excellent verbal and written communication skills, including the ability to work cooperatively with staff in various offices within the School of Social Work, the Office of University Development (OUD), and with University alumni and donors.
• A problem-solver with strong analytical skills and follow-through; a high degree of initiative, resourcefulness, and the ability to anticipate needs. 
• Capacity to exercise initiative, independent judgment, diplomacy, professionalism and confidentiality with a positive service-oriented attitude. 
• An understanding of the importance of confidentiality and a commitment to protecting the confidentiality of our constituents.
• Proficiency with Google Suite (Calendar, Docs, Sheets, Forms, etc.). 
• 1-3 years of experience.
   

• Bachelor's degree preferred. 
• Prior experience in a large and decentralized higher education setting like the University of Michigan. 
• Prior experience working in a fundraising department.
• Familiarity with U-M database programs (DART, Business Objects, Concur, M-Pathways, Tableau).
• Prior experience managing student employees.
