Job Summary

 

The Medical School Office of Faculty Affairs has an excellent opportunity available for an administrative specialist to join their team. This unique position will provide `embedded? support for several client departments.  This position will directly interface with Chair's, Chief Department Administrators, other department staff and department faculty for faculty lifecycle needs.  This position will enable faculty appointments and promotions in the creation and submission of timely packages to the Office of Faculty Affairs using subject matter expertise and specialized software.  This position will also facilitate and coordinate faculty emeritus appointments, retirements, professorships, etc.

This administrative specialist is part of hybrid model whereby a centrally supervised resource provides direct, hands-on faculty lifecycle support to select Medical School departments.   This service model leverages the volume of several relatively smaller departments to provide highly professional, cost-effective service.  This position offers variety, networking, growth and challenge associated with a client base from several departments.

This administrative specialist will receive supervision from the Director of Academic Appointment and Faculty Support.  This position will utilize a hybrid work model ? a combination of onsite and remote work.  Specific work schedule and location will be driven by client department needs.

Responsibilities*

 

Appointments:

  • Coordinate position approval process and job postings
  • Advise departments of timelines regarding appointment start dates
  • Draft and coordinate offer letters/letters of intent
  • Coordinate faculty background checks
  • Facilitate appointment process with candidates and department to complete all requirements for submission
  • Facilitate completion of new hire paperwork

Promotions:

  • Meet with faculty annually to assemble promotion packet
  • Assist department in the drafting of documents to complete packet
  • Facilitate promotion process with faculty and department to complete all requirements for submission

Other Services:

  • Emeritus requests including drafting memoirs
  • Professorship request - new and renewals
  • Clock extensions/exclusions
  • Scholarly leaves of absence including sabbaticals
  • Retirements
  • Adjunct renewals

Required Qualifications*

 
  • Bachelor's degree or equivalent combination of education and experience
  • Two years of progressive responsibility and administrative experience in faculty affairs, faculty development, or a related field
  • Demonstrated ability to assimilate to and apply software applications
  • Demonstrated ability to work in a highly organized fashion
  • Demonstrated ability to manage projects with varying levels of complexity and ambiguity
  • Demonstrated customer-oriented service delivery
  • Demonstrated ability to work independently/remotely

Desired Qualifications*

 
  • Working knowledge of University, OVPR, and Medical School policies and procedures
  • Two years or more of experience in the administration of faculty appointments and promotions at a medical school

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
