Job Summary

 

The Survey Research Center (SRC) at the Institute for Social Research (ISR) is a leader in international interdisciplinary social science research involving the collection and analysis of data, especially data from scientific sample surveys.  SRC conducts some of the most widely cited and influential studies in the world.

This position will work in the SRC Director's Office (SRC DO) and will report to the Administrative Specialist role. If you join the SRC, you will become an important part of a high functioning network of professional research administrators with broad responsibilities, expectations, and opportunities to support the center's overall research enterprise and its research faculty.

Responsibilities*

 

Administrative Support for Faculty Academic Affairs Team

  • Assist with meetings and events, including scheduling, placing food orders, preparing materials, managing calendar invitations, and coordinating Zoom links.
  • Support Collegiate Travel Planners (CTP) travel coordination and related logistics.
  • Organize and prepare documents; maintain both physical and digital files.
  • Maintain HR files and prepare archival copies of appointment materials for submission to the ISR Director's Office. 

Support for Human Resource-related processes

  • Coordinate the annual renewal process for faculty associates.
  • Assist with renewal processes for emeritus and adjunct faculty appointments.
  • Validate CV content for recruitment and promotion processes.
  • Support promotion processes, including drafting letters, preparing and emailing materials, and conducting follow-up as needed.
  • Prepare printed materials for meetings.

General Office Support

  • Serve as the first point of contact for the main office, including phones, email, and mail. 
  • Manage office supplies and place orders as needed. 
  • Assist with P-Card purchases and Emburse expense report preparation. 
  • Coordinate service and repairs for office equipment. 
  • Update office displays and bulletin boards. 
  • Support projects and events as assigned. 
  • Order and maintain inventory of giveaway items. 
  • Any other administrative duties as assigned

Required Qualifications*

 
  • High school diploma or equivalent and two to four years of administrative or office support experience.
  • Advanced experience with Microsoft office, particularly Word and Excel, including experience with mail merge.
  • Experience with Google workspaces in a professional setting, Gmail (including inbox organizational tools and email merge), Google calendar, Google Docs & Sheets.
  • Experience with coordination or supporting meetings and events, including scheduling, logistics, and use of Zoom (or equivalent) for hybrid or online meetings.
  • Exceptionally strong customer service orientation, with the ability to interact with kindness, professionalism, and empathy to individuals of all backgrounds and abilities
  • Demonstrated ability to perform accurate data entry and maintain office records with exceptional attention to detail and follow -through.
  • Proven ability to meet deadlines.
  • Strong written and verbal communication skills, with ability to communicate clearly, effectively, accurately, and concisely.
  • Ability to work effectively in person in an open office/reception area environment - this is a critical qualification for this role.
  • Ability to work both independently and collaboratively as part of a team.
  • Demonstrated ability to exercise sound judgement and handle confidential and/or sensitive information appropriately.

Desired Qualifications*

 
  • Experience with MailChimp and Canva or similar tools for communication and basic design.
  • Advanced experience with Google Calendar and Gmail organizational features and tools.
  • Prior experience in a reception, front-line customer service role.
  • Experience with Interfolio or similar academic personnel systems.

Work Locations

 

This position will be fully onsite in Ann Arbor and will include responsibilities related to reception coverage as well as event and meeting support. The regular work schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m., with a one-hour lunch period.
