Job Summary

 

The Academic Program Specialist supports the Dedicated Programs and Assessments (DPA) unit within the College of Pharmacy, contributing to its essential mission of creating an inclusive and equitable environment for all.

Under the supervision of the Assistant Dean for DPA, this role involves:

  • Co-leading and providing administrative support for DPA's outreach programs, including the supervision of student staff.
  • Collaborating with Assistant Dean on College-wide surveys to evaluate climate, culture, and belonging.
  • Coordinating DPA events and working with the Marketing and Communications team to advertise unit initiatives.

Responsibilities*

 

Co-lead student outreach programs:

  • Serve as point of contact for applicants, and support the application process.
  • Manage program logistics, including travel arrangements, dorm and room reservations, and payment processing (e.g., PeoplePay).
  • Oversee program advertising through platforms such as Handshake, collaborating with Marketing/Communications as needed.
  • Coordinate and oversee the application process, including serving as the initial point of contact for applicants.
  • Support the summer job employment process for program mentors and student instructors.
  • Maintain and update the program's Canvas page, schedule shadowing opportunities, and administer participant surveys.
  • Provide direct support for student needs while they are on campus.
  • Provide administrative support to the DPA Assistant Dean and unit.

Co-lead DPA and College surveys:

  • Organize and assemble surveys to evaluate climate, culture and belonging in the College.
  • Support data analysis
  • Write summary reports

Coordinate DPA events:

  • Organize and coordinate campus visits from high school students
  • Organize and coordinate College-wide events

Provide administrative support for Post-doctoral Collegiate Fellowship Program:

  • Serve as point of contact for applicants, oversee application process.
  • Work with faculty to identify potential mentors.
  • Work with HR to complete hiring process for successful candidate.
     

Required Qualifications*

 
  • Bachelor's degree or an equivalent combination of education and experience
  • Excellent communication skills, both verbal and written, and editing skills
  • Demonstrated ability to establish excellent working relationships with faculty, staff, students and prospective students and their families.
  • Must have the ability to work comfortably with individuals at all levels.
  • Excellent interpersonal and leadership skills.
  • Strong organizational skills.
  • Demonstrated high level of critical thinking, analytical, and problem-solving skills.
  • Ability to work on diverse projects simultaneously, adapt to changing demands, and priorities.
  • Strong attention to detail and accuracy.
  • Demonstrated savvy in relation to digital environments and an openness to learning new software tools as those environments change.
  • Demonstrated knowledge and understanding of multiple facets of diversity: cultural, ethnic, racial, religious, gender, educational, age, sexual orientation, linguistic, professional, and other     differences that make us unique.
  • Proficient in MS Office software (Word, Excel, PowerPoint), Qualtrics, and Google Apps (Docs, Sheets, etc); proficient in using Google calendar features; proficient in using Zoom
  • Experience with a range of program evaluation methods including survey design and assessment.

Desired Qualifications*

 
  • Knowledge of pharmacy or health sciences education
  • Ability to collect, analyze, and interpret quantitative and qualitative data
  • Experience working with students
  • Experience with academic administration
  • Knowledge of University of Michigan policies and procedures, and systems
  • Experience with social media platforms and virtual meeting platforms
  • An understanding of the challenges faced by minoritized groups in higher education
