Job Summary

 

This position plays a critical role in providing high quality administrative support to The Clinical Director, and the ECMO Team. This  position will include administrative duties for general office work including, but not limited to, the coordination of meetings, managing calendars, typing required documents, entering and reconciling payroll, personnel related work including job postings & hiring, budgetary reconciliation including processing journal entries, supply ordering using purchase orders/short codes, planning and processing travel/conference registration, and processing tuition reimbursement.

Responsibilities*

 
  • Duties include but are not limited to providing administrative support to the Clinical Nurse Director for the CVC5 Moderate Care and ICU and other leadership positions (Clinical Nurse Supervisor, and Unit Based Committees).
  • Process, reconcile and submit biweekly and monthly payroll generated from One- Staff data, adhering to Department of Labor regulations, UM policies and Procedures and contracts. 
  • Review Gross Pay Registers, make adjustments as necessary and ensure timely follow up with staff. 
  • Prepare, submit and reconcile financial processes and statements such as travel and hosting expenses, tuition support, gift accounts, CONCUR, etc.
  • Prepare all personnel documentation including job postings, appointment changes, termination's, level changes, and all records/absences pertaining to personnel issues. 
  • Maintain departmental personnel records. 
  • Handle matters of a highly sensitive and confidential nature. 
  • Maintain office supplies
  • Track certifications and renewals.

Required Qualifications*

 
  • Four or more years' experience as an Administrative Assistant.
  • Associate degree or equivalent combination of education and experience is necessary. 
  • Excellent verbal, written and interpersonal skills. Demonstrated ability to compose and produce professional correspondence.
  • Excellent organizational and multitasking skills including attention to detail.
  • Demonstrated ability to work independently and regularly exercise judgement in setting priorities.
  • Ability to work collaboratively and effectively with in a large team setting consistently demonstrating flexibility and commitment to embracing change. 
  • Experience using ANSOS/OneStaff, M-Pathways, HRMS and Data Mart.
  • Experience with FMLA and Work Connections
  • Considerable experience in performing responsible office duties
  • Ability to perform at a high level within a team setting with a strong willingness to support co-workers and staff.
  • Demonstrated positive work ethic and strong sense of teamwork/problem solving with co-workers.

Desired Qualifications*

 
  • Bachelor Degree
  • Proficient in Microsoft Word, Excel, PowerPoint.
  • Experience using Google DOCs and Qualtrics.
  • Experience reserving rooms for meetings/classes.
  • Excellent attendance record
  • Basic experience with e-mail systems
  • Reasonable knowledge of University Policies and Procedures.
  • Knowledge of Wolverine Access.

Work Schedule

 

This is a 40-hour full time position, with a work schedule of Monday - Friday

Background Screening
