Job Summary

 

The Assistant Vice President for Finance & Treasurer (the Treasurer) seeks a highly experienced and service-oriented Executive Assistant with exceptional communication skills to provide high-level administrative, project, and organizational support.

As a key member of the Treasurer's Office, the Executive Assistant will manage the Treasurer's day-to-day activities and communications, in addition to coordinating and providing logistical support for projects, meetings, team gatherings, and events. This position works closely with colleagues across the Business & Finance organization and other university units to ensure smooth operations and effective communication.

The ideal candidate will have significant Executive Assistant experience, demonstrate professionalism and discretion, exercise sound judgment, and possess strong communication skills and emotional intelligence, all the while being amenable to consistent change. Success in this role requires initiative, flexibility, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities*

 

Scheduling and Coordination

  • Manage the Treasurer's and Deputy Treasurer's calendar, ensuring meetings and commitments are effectively prioritized.
  • Manage the Treasurer's and Deputy Treasurer's email, creating a process that ensures urgent approvals are addressed and remaining messages are answered in a timely fashion.
  • Schedule appointments, meetings, and conference calls with internal and external partners.
  • Anticipate scheduling needs and make adjustments as priorities shift.


Event and Logistics Support

  • Plan and coordinate all logistics for meetings, events, and visits involving internal and external stakeholders.
  • Arrange venues, travel, and materials for the Treasurer and Deputy Treasurer to ensure a professional and seamless experience.
  • Plan, coordinate, and execute team events, celebrations, and community service activities.


Project Coordination

  • Provide administrative and coordination support for initiatives led by the Treasurer, including efforts related to Treasury, Enterprise Financial Planning and Analysis, Insurance and Claims Administration, Institutional Financial Planning and Analysis, and other Business and Finance-wide projects.
  • Prepare and distribute meeting materials, track timelines, and monitor progress toward milestones.
  • Follow up on action items and ensure effective communication among project participants.
     

Required Qualifications*

 
  • High school diploma or equivalent education, and at least five years of progressively responsible administrative experience for senior-level executive(s).
  • Experience coordinating complex scheduling across multiple executive offices.
  • Exhibits strong organization and discretionary skills when managing large inboxes.
  • Demonstrated ability to work both independently and collaboratively with professionalism and flexibility.
  • Excellent interpersonal, verbal, and written communication skills, along with strong emotional intelligence. 
  • Experience in implementing process improvement and/or change.
  • Strong organizational skills and the ability to manage multiple tasks and deadlines.
  • High attention to detail and accuracy in a fast-paced environment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Ability to learn and effectively use collaboration tools such as Zoom, Google Workspace, Dropbox, and other digital platforms.
  • Demonstrated commitment to professional confidentiality.
     

Desired Qualifications*

 
  • Experience preparing materials for high-level governance boards or executive meetings.

Modes of Work

 

The work requirements allow both onsite and offsite work and an employee has an expected recurring onsite presence. On occasion, the employee may be required and must be available to work onsite more frequently if necessitated by unit leadership or their designee and/or the job requirements.

Additional Information

 

This position is in the Treasurer's Office, part of the Business & Finance division at the University of Michigan. Some flexibility in work location is available; however, regular on-site presence in Ann Arbor is expected to support the Treasurer's activities and team collaboration.

Salary will be determined based on experience and qualifications, within the range of $60,000-$75,000.
