Job Summary

 

The Inclusive History Project (IHP) has an immediate opening for an Administrative Coordinator to join our team, with a desired start date as soon as possible.

The IHP is a multi-year presidential initiative studying and documenting a comprehensive history of the University of Michigan that stretches across its three campuses and Michigan Medicine. The IHP is working to engage the entire university and neighboring communities to better understand the institution's full history, including its record of inclusion and exclusion, and to consider what actions this history demands in the present.

We are seeking a highly organized and proactive Administrative Coordinator to provide administrative, operational, and events support to a small and dynamic team. This multifaceted role will be central to scheduling and planning meetings with a range of affiliates and stakeholders, providing a variety of HR and financial support, coordinating events and communications, and executing various administrative responsibilities to support the IHP team and project initiatives. This position requires a detail-oriented individual who will work closely with project staff, including the IHP Assistant Manager, IHP Manager of Engagement, and IHP Managing Director; act as a key point of contact for a range of people affiliated with the IHP; and provide critical support for a range of IHP research and engagement activities. This role will report to the IHP Manager of Engagement.


This is a term-limited position, with the term ending June 30, 2027, and the possibility of an extension contingent upon funding availability.
Work will be hybrid, with regular in-person work on the Ann Arbor campus required.

Responsibilities*

 

Administrative and operational support (45%)

  • Provide general administrative support to the IHP Managing Director, IHP Manager of Engagement, IHP Assistant Manager, and IHP Director of Research for the Ann Arbor campus as well as IHP research fellows and other team members
  • Develop and maintain schedules and systems for various administrative processes outlined below
  • Organize and maintain program records
  • Provide assistance with administering IHP grants, including working with application systems, communicating with reviewers, circulating grant applications to reviewers, facilitating evaluation processes, etc.
  • Schedule and plan in-person and virtual meetings, and provide logistical support such as circulating agendas, preparing presentation materials, booking rooms, managing Zoom, and taking meeting minutes

Financial & HR Support (25%)

  • Assist with employee onboarding/offboarding
  • Support hiring activities, including coordinating resume reviews, candidate communication, and interview scheduling
  • Coordinate travel arrangements for IHP special guests as needed
  • Manage financial transactions, purchasing of supplies and materials, and procurement
  • Prepare and track reimbursements and reconcile PCard expenses through Emburse for faculty and staff, as well as reimbursements for students and guests as needed

Events and communications support (30%)

  • Oversee the maintenance and ongoing updates of the IHP website, ensuring timely and accurate addition of new content, including updates, events, and other relevant information
  • Monitor the IHP email account and compose correspondence
  • Maintain the IHP mailing list
  • Coordinate event logistics, including selecting and reserving venues, setting up Zoom, making catering arrangements, managing registration, communicating with attendees, overseeing accessibility accommodations, processing event recordings, and other forms of logistical support
  • Coordinate communications about events, including targeted emails, IHP website updates, and opportunities for promotion with campus partners
     

Required Qualifications*

 
  • High school diploma or equivalent and at least four (4) years of experience in general office or administrative support
  • If hired at the intermediate level: High school diploma or equivalent and at least two (2) years of experience in general office or administrative support.
  • Strong organizational and time management skills with the ability to manage multiple tasks, set priorities, and meet deadlines 
  • Experience with event planning and support
  • Excellent interpersonal, written, and verbal communication skills
  • Proficiency with Google Workspace (e.g. Docs, Sheets, Drive) and scheduling and meeting platforms (e.g., Zoom, Google Calendar)
     

Modes of Work

This position may be underfilled at a lower classification (Administrative Assistant Intermediate) depending on the qualifications of the selected candidate.

Additional Information

 

The salary range for the senior-level position is $48,000 to $60,000
The salary range for the intermediate-level position is $41,400 to $51,700
Please note a higher salary may be offered based on the selected candidates experience.

This is a term-limited position through June 30, 2027 with the possibility of an extension.
