Job Summary

 

Medical School Admissions in the Office of Medical Student Education seeks an experienced applicant to join the Admissions team as they develop strategic programs to recruit prospective medical students. The successful candidate will work directly with the Admissions Office Director, Admissions staff, and Assistant Dean for Admissions to strategize, plan, coordinate, administer UMMS Admissions events, including applicant interview days and Second Look Weekend. 

This position has occasional seasonal events that occur in person on the weekends and evenings. Travel to local and national meetings for recruitment and professional development are required. It is expected that the selected candidate will be onsite at least 2-3 days/week with a hybrid option for the remaining days..

Responsibilities*

 

Under the general supervision of the Director and Assistant Dean, the Assistant Director of MD Admissions plays a key role within the Admissions team's mission of recruiting and matriculating future medical students. The Assistant Director focuses on application management, strategic recruitment, and onboarding processes. This role provides high-level management support, exercises independent judgment on significant operational matters, and contributes to the overall success of the MD Admissions unit. This includes, but is not limited to the following roles and responsibilities:

  • Deliver mission-driven, exceptional customer service to students, faculty, alumni, staff, and prospective students. 
  • Demonstrate advanced organizational and project management acumen; meticulously manage complex tasks and exhibit unwavering attention to detail. 
  • Apply keen discernment in screening applications, leverage deep understanding of application management system, orchestrate efficient recruitment and interview day logistics, facilitate offers of admission and scholarships, and execute seamless new student onboarding. 
  • Integrate seamlessly with the admissions team; master the intricacies and objectives of admissions and the deans' initiatives; engage proactively in team decision-making. 
  • Champion the office and UMMS to external stakeholders, demonstrating comprehensive expertise in all aspects of the MD program to ensure accurate and effective information sharing. 
  • Serve as a trusted liaison for the Assistant Dean and Director during Admissions Executive Committee (AEC) meetings; manage confidential member voting and precise data documentation. Facilitate the AEC file review assignments with attention to faculty schedules, potential for bias, and balanced reviewer assignments for each candidate. Support the Admissions Leadership Team (ALT) in thorough file review and evidence-based decision-making.
  • Produce comprehensive and timely reports on application cycle progress for the Director and Assistant Dean, detailing key stages from application screening through matriculation, and informing strategic decision-making by the Assistant Dean and the ALT.
  • Assist with registration and other form processing for recruitment events (e.g. Second Look revisit days).
  • Represent UMMS MD Admissions at recruiting events, leveraging admissions expertise and in-depth knowledge of the UMMS curriculum to deliver presentations and to engage effectively at conferences. 
  • Exhibit exceptional attention to detail by rigorously verifying application materials, maintaining accurate records, and ensuring compliance with all admissions policies, protocols, and deadlines. 
  • Demonstrate adaptability and flexibility in responding to shifting admissions landscapes, proactively anticipating changes, and taking initiative to streamline processes and address emerging challenges. 
  • Act as unit director in periods of Director's absence, overseeing unit staff, working directly with students, faculty, alumni and medical education staff, and contributing to staff performance and programmatic evaluations.

Generate comprehensive reports and summaries for admissions data analysis, research, LCME accreditation, and other institutional requirements.  This includes, but is not limited to the following:

  • Interpret data and share reports with OMSE units, OMSE administration, and UMMS Leadership as requested.?Respond to AAMC survey requests for data. 
  • Support the Assistant Dean and Director by providing documentation for LCME accreditation requirements. 
  • Contribute to the development, review, and editing of policies, procedures, and admissions documents for AAMC, websites, alumni development, and Michigan Medicine Health Advancement. 
  • Serve as the primary MD Admissions representative for the application management system used in recruitment. 
  • Utilize in-depth knowledge and expertise to effectively operate and manage the system. 
  • Collaborate and communicate with faculty, staff, IT personnel, students, interviewers, and applicants. 
  • Identify and troubleshoot issues within the application management system as needed. 
  • Serve as a liaison with the application management system IT team to facilitate a seamless application cycle transition in coordination with AMCAS.

Assist the Admissions and OMSE teams.  This includes, but is not limited to the following:

  • Build and maintain relationships with OMSE staff, MSTP participants, alumni, faculty, and students. 
  • Actively participate in recruiting efforts for the University of Michigan Medical School. 
  • Demonstrate a proactive approach in addressing questions and coordinating communication with relevant stakeholders. 
  • Provide support for team events and activities. 
  • Support the onboarding process for incoming students, ensuring they are integrated into Michigan systems
  • Serve as a liaison between OMSE staff and incoming students, facilitating completion of pre-matriculation checklist items. 

Required Qualifications*

 
  • Bachelor's degree. Master's Degree preferred. 
  • Five years' education-related work experience. Higher education and/or admissions experience preferred. 
  • Outstanding data analysis and manipulation, organizational and planning skills; able to set priorities, handle multiple high stakes complex assignments, multi-task, and meet deadlines.
  • Advanced computer skills (Outlook, application management system program, and other data-based software), proficiency in Microsoft Office and web maintenance, and ability to quickly learn and adapt to new software. 
  • Consistent prioritization of safeguarding privacy and confidentiality, ensuring the accuracy and reliability of data. Uphold the highest ethical standards. 
  • Effective interpersonal, communication, and teamwork skills with demonstrated ability to work well with faculty, staff, students, alumni, and prospective students.
  • Ability to work independently.

Background Screening

 

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
