Job Summary

 

The Patient Services Intermediate (PSI) will provide dedicated, on-site clerical, administrative, and patient services support for the Post Liver Transplant program within the Transplant Clinic ACU. This position supports a significant and growing population of liver transplant recipients who require ongoing, long-term follow-up after transplantation.

The PSI will provide direct administrative support to five Post Liver nurse transplant coordinators and will work closely with transplant hepatologists, transplant surgeons, Advanced Practice Providers (APPs), Medical Assistants (MAs), patients and families, and other members of the multidisciplinary transplant team.

The position will help ensure appointments, laboratory testing, diagnostic studies, outside records, patient documentation, forms, and other follow-up activities are completed and coordinated in a timely manner. The PSI serves as a consistent administrative resource for the Post Liver team, allowing nurse transplant coordinators and other clinical staff to focus on clinical care and transplant coordination.

Responsibilities*

 
  • Provide clerical, administrative, and patient services support for the Post Liver Transplant patient population.

  • Provide dedicated administrative support to five Post Liver nurse transplant coordinators and their assigned patient panels.

  • Schedule and coordinate Post Liver clinic appointments, return visits, laboratory appointments, diagnostic testing, imaging, procedures, and other follow-up services.

  • Assist with coordinating multiple appointments and testing requirements associated with ongoing post-transplant care.

  • Complete appointment, laboratory, testing, and other patient reminder calls.

  • Follow up with patients regarding outstanding appointments, laboratory testing, diagnostic studies, records, forms, and other administrative requirements.

  • Assist with rescheduling missed or cancelled appointments and testing.

  • Support clinic preparation and pre-arrival activities for Post Liver patients.

  • Place and pend orders in MiChart in accordance with approved policies, protocols, and established workflows.

  • Process and follow up on prior authorizations for imaging, procedures, diagnostic testing, and other services within the scope of the PSI role.

  • Monitor and manage assigned InBasket messages, administrative work queues, faxes, forms, and other clerical workflows.

  • Manage incoming and outgoing documentation through the Post Liver fax server and ensure information is appropriately routed.

  • Support the processing and coordination of expiring external standing laboratory orders.

  • Obtain, receive, upload, and appropriately route outside medical records, laboratory results, imaging reports, procedure reports, and other documentation required by the Post Liver team.

  • Assist with obtaining outside imaging and other clinical information needed for ongoing transplant follow-up.

  • Maintain accurate patient information, records, and documentation in accordance with HIPAA and organizational standards.

  • Verify patient demographic and insurance information as appropriate.

  • Communicate appointment changes, testing instructions, laboratory information, and other appropriate non-clinical information to patients and families.

  • Serve as a point of contact for patients and families and appropriately route clinical questions or concerns to the nurse transplant coordinator or other appropriate clinical team member.

  • Assist nurse transplant coordinators, providers, APPs, and other clinical staff with administrative tasks and arranging follow-up services.

  • Facilitate FMLA paperwork, forms, letters, prescription-related requests, and other transplant-related patient paperwork within the scope of the PSI role.

  • Support prior authorization workflows for procedures including MRI, CT, PET scans, and other services as appropriate.

  • Appropriately route medication prior authorization requests according to established departmental workflows.

  • Coordinate with laboratories, Radiology, procedural areas, specialty departments, referring providers, outside healthcare organizations, and other services involved in the ongoing care of Post Liver transplant recipients.

  • Work closely with the Post Liver team to promote timely patient follow-up, efficient workflows, and continuity of care.

  • Provide cross-coverage and additional clerical support within the Transplant Clinic ACU as operational needs require.

  • Identify workflow concerns and opportunities for improvement and communicate these to appropriate leadership.

  • Perform other patient services and clerical duties consistent with the Patient Services Intermediate classification and as assigned by leadership.

Required Qualifications*

 
  • Graduation from high school or an equivalent combination of education and experience.

  •  Minimum of three years of experience.

Desired Qualifications*

 
  • Three or more years of customer service experience within a medical environment. 

  • Experience supporting complex ambulatory, specialty, or transplant workflows is preferred. Experience with scheduling, patient communication, medical records, prior authorizations, InBasket workflows, and coordination of diagnostic testing is also preferred.

Work Locations

 

This is a fully on-site position supporting the Post Liver Transplant program within the Transplant Clinic ACU. Regular on-site presence is required to support daily program operations, patient needs, clinical staff, and Post Liver workflows.
